Position Summary
This is an entry level position for someone who is looking to learn or build on their HR experience and grow with a fast-moving team. The HR Administrator provides administrative and operational support to Pueo’s Human Resources function. This position assists with day-to-day HR activities including onboarding and offboarding, employee records, benefits administration, HR systems, compliance tracking, recruiting support, and employee inquiries.
The HR Administrator works closely with the HR Director, HR Specialist, Recruiting team, managers, and employees to help ensure HR processes are timely, accurate, organized, and compliant. This position is well suited for an early-career HR professional who is interested in developing broad experience within a growing government contracting organization.
Essential Duties and Responsibilities
- Maintain accurate and complete employee records and HR documentation.
- Process employee changes including new hires, transfers, compensation changes, manager changes, leave status updates, and terminations.
- Ensure required documents are completed, filed, and retained in accordance with company procedures and applicable recordkeeping requirements.
- Assist with routine HR correspondence, letters, forms, and employee communications.
- Maintain HR data, create and run reports, calendars, and administrative logs.
- Monitor HR deadlines and follow up on outstanding documentation or required employee actions.
- Coordinate administrative aspects of the new-hire onboarding process.
- Prepare onboarding materials and ensure required forms and documentation are completed.
- Ensure timely completion of Form I-9 and E-Verify.
- Enter and verify new-hire information in applicable HR systems.
- Coordinate with Payroll, IT, Security, Recruiting, and managers as needed to support employee onboarding.
- Assist with employee offboarding, including separation documentation, system updates, benefits notifications, and return-of-property coordination.
- Maintain onboarding and offboarding checklists and documentation.
- Maintain employee information in Paylocity and other HR systems.
- Process routine HRIS updates and assist employees with basic system questions.
- Review employee data for accuracy and help identify missing or inconsistent information.
- Assist with payroll-related employee changes and provide supporting documentation to Payroll.
- Generate routine HR reports and assist with periodic audits of HRIS data.
- Assist employees with routine benefits questions and direct more complex questions to the appropriate HR or benefits resource.
- Support benefits enrollment, qualifying life event changes, and termination processing.
- Maintain benefits-related records and assist with reconciliation and eligibility reviews.
- Assist with annual Open Enrollment communications and administrative activities.
- Coordinate information between Paylocity, Employee Navigator, benefit vendors, and employees as appropriate.
- Assist with administrative tracking of employee leave requests, including PTO, sick leave, medical leave, military leave, and other applicable leave programs.
- Maintain leave documentation and trackers under the direction of HR leadership.
- Support compliance activities related to employment posters, required notices, personnel records, Form I-9, E-Verify, and other HR requirements.
- Assist with recurring HR compliance reporting and data collection.
- Help maintain current HR forms, templates, policies, and standard operating procedures.
- Provide administrative support to the Recruiting team as needed.
- Assist with interview scheduling, candidate communications, applicant tracking, and recruiting documentation.
- Maintain accurate candidate and requisition information within the applicant tracking system.
- Support pre-employment activities including background checks, offer documentation, and onboarding handoffs.
- Assist with recruiting reports and metrics.
- Serve as an initial point of contact for routine employee questions regarding HR processes, systems, benefits, policies, and forms.
- Respond to employees in a timely and professional manner and escalate questions requiring HR leadership review.
- Help ensure employees receive accurate information and a consistent HR experience.
- Assist the HR team with audits, special projects, employee communications, and process improvements.
- Help develop and maintain HR procedures, checklists, templates, and reference materials.
- Support company-wide HR initiatives as assigned.
- Maintain confidentiality of employee and company information at all times.
Qualifications
- Associate's or Bachelor's degree in Human Resources, Business Administration, Management, or a related field, or equivalent combination of education and relevant experience.
- Approximately 0–2 years of HR, administrative, recruiting, payroll, benefits, or related professional experience.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills.
- Professional judgment and ability to handle confidential information.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
- Ability to learn and work effectively within HR information systems and other business applications.
- Previous experience in Human Resources or an HR internship, or aPHR certification.
- Experience using Paylocity, Employee Navigator, or another HRIS.
- Familiarity with Form I-9, E-Verify, onboarding, benefits administration, or employee records.
- Experience supporting a government contractor or professional services organization.
- Interest in developing a career in Human Resources.
Pay: $25.00 - $30.00 per hour
