We are seeking a detail-oriented and proactive Legal Operations & IT Support Specialist to support the daily operations of our client.
Position Summary
This role combines legal operations management (60%) with IT support responsibilities (40%). The primary focus is overseeing the firm’s case management software, ensuring accurate usage by attorneys and staff, improving workflows, and providing technical support for day-to-day technology needs. More involved IT needs will be handled by service desk technicians.
The ideal candidate is highly organized, tech-savvy, service-oriented, and comfortable working directly with legal professionals to improve efficiency and compliance with firm procedures. This is a 100% in-person position.
Key Responsibilities
Legal Operations & Case Management (60%)
· Administer and maintain the firm’s case management system and related legal technology platforms
· Ensure attorneys, paralegals, and legal staff properly utilize case management software, according to firm standards and workflows
· Develop, document, and enforce best practices for matter intake, case tracking, document management, calendaring, and reporting
· Conduct staff training sessions and provide ongoing support for software usage and workflow processes
· Monitor data accuracy, completeness, and compliance within the case management system
· Generate operational and productivity reports for firm leadership
· Coordinate with software vendors regarding updates, troubleshooting, and system enhancements
IT Support (40%)
· Provide first-level technical support for attorneys and staff
· Resolve end-user problems such as password resets, printer troubleshooting, peripheral replacement (scanners, keyboard/mice), and basic application errors
· Troubleshoot issues related to Microsoft 365, email, document management systems, and remote access tools
· Coordinate with external IT vendors or managed service providers as needed
· Set up and configure user accounts, workstations, and equipment for new hires
· Assist with maintaining cybersecurity best practices and user compliance
· Support conference room technology, video conferencing platforms, and office technology systems
· Document support requests and resolutions in a timely manner
· Help maintain inventory of firm hardware and software assets
Qualifications
· Bachelor’s degree or equivalent work experience preferred
· 3+ years of experience in legal operations, law firm administration, legal technology, or IT support
· Experience working with legal case management software such as Litify, or Filevine or similar platforms
· Experience in a law firm or legal services environment
· Strong understanding of law firm workflows and legal staff operations
· Familiarity with document management systems and legal billing software
· Proficiency with Microsoft 365 and standard office technologies
· Basic knowledge of networking, cybersecurity, and user administration
· Experience creating process documentation and training materials
· Excellent troubleshooting and problem solving skills
· Strong communication and interpersonal skills with the ability to train and support non-technical users
· Ability to manage multiple priorities in a fast-paced legal environment
· High level of professionalism and confidentiality
