Title: Travel Trainee/Tech/Specialist Pay Grade: 24/25/26

POSITION SUMMARY
Makes travel arrangements for patients of Maniilaq Health Center and employees of Maniilaq Association. Reports directly to the Travel Patient Housing Manager or designee.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Makes travel arrangements for patients and employees, including reservations with hotels and car rental agencies in a timely fashion.
- Ensure patient is eligible for Medicaid prior to travel. Connects patient to MHC alternate resources as needed.
- Contacts patient for escort information. Have patient and escort sign MHC patient escort form.
- Calls or contacts patients and employees with travel information.
- Prints travel itineraries for patients and employees.
- Completes travel requisitions and forwards on to accounting promptly.
- Enters travel requisition data into the H drive.
- Answers phone and follows up with all travel requests.
- Provides on-call coverage as needed.
- Collaborates with co-workers to insure program coverage.
- Have a good understanding of MHC’s Patient Travel Policy.
- Proficient in use of Halo System for meal allocations.
- Works on Saturday, and Sunday if needed.
- Carries out reception duties including receiving, screening, and forwarding phone calls.
- Compiles and inputs data into computer system as directed.
- Maintains files in a secure and organized manner follows HIPPA
- Performs clerical duties as required to support patients, including typing letters, memos, and minutes.
- Assists care team with patient letter and travel worksheets as directed.
- Proficient use in Cerner, VOYAGER, and Medicaid portal, tiger text.
- Works AFHCAN ques as assigned.
- Assists patient in rescheduling appointments by sending request to case management.
MINIMUM REQUIREMENTS
Trainee: Able to type well enough to carry out the duties of the position. Must attend/receive customer service training within two months of hire or four months for current employees.
Tech: High school diploma or equivalent plus one year clerical experience. Prior computer experience at the intermediate level required. Works at Maniilaq patient housing process patient check in/check out procedure. Distributes meal cards, vouchers, keys, updates travel for patients and escorts.
Specialist: Meets qualifications of Travel Technician plus six months travel reservations experience and demonstrated competence in all duties and responsibilities. Ability to process travel sent from ANMC via VOYAGER system. Ability to send messages in Cerner. Medical Terminology class certificate. Covers Maniilaq patient housing coverage as needed.
Coordinator: Meets qualifications of Travel Specialist. Able to schedule all MHC appointment types. Trains as case management support. Covers case management support as needed. Covers Maniilaq patient housing as needed.
