About the Role
As a Conferences and Event Manager, you will shape how Avoca shows up in person across conferences, customer events, and brand activations. Reporting to the VP of Marketing and working closely with our existing event lead, you'll plan and execute high-impact experiences that drive pipeline, strengthen relationships, and bring our brand to life.
This is a leadership role focused on scaling our events strategy, delivering flawless execution, and building repeatable processes that elevate Avoca's presence and position us as an industry leader.
This role is ideal for an events marketing professional who thrives in high-accountability environments, loves owning both strategy and hands-on logistics, and knows how to build discipline and performance into a scaling events program.
What You’ll Do
- Scale Avoca's events strategy in partnership with the Events Marketing team across conferences, customer events, and brand activations.
- Partner with the Partnerships & Sales team to plan and target conferences and activations for 2026.
- Own end-to-end conference execution, including registrations, booth design/build, logistics, merchandise, and travel.
- Manage booth operations and onsite activations to drive engagement and pipeline.
- Support leadership and Sales during speaking engagements, meetings, and VIP moments.
- Lead day-of event execution, including troubleshooting across vendors, setup, shipments, and signage.
- Collaborate with the Rev Ops & Sales team to organize lead capture process at conferences into meetings and pipeline.
- Deliver post-event recaps, including pipeline impact, performance vs. goals, and key learnings.
- Support customer and internal events as needed.
- Own event branding and messaging to elevate Avoca's presence and position us as an industry leader.
What You’ll Bring
- 3+ years in events, experiential marketing, field marketing, or conference execution (startup or B2B SaaS preferred).
- Experience running conferences, offsites, or customer events end-to-end.
- Comfortable owning both strategy and hands-on logistics (shipping boxes, setting up booths, electrical, etc.).
- Experience working with vendors and negotiating contracts.
- Budget management experience (invoices, tracking spend).
- Proficient with CRM tools (HubSpot/Notion).
