THE ROLE
The Production Manager is responsible for managing the full lifecycle of roofing projects within their assigned market(s), from post-contract intake through project completion. Operating under SmartRoof’s centralized PMO model, the Production Manager is accountable for project readiness, scheduling, subcontractor coordination, and final closeout. This role collaborates closely with Project Coordinators, Project Managers, and the Quality Manager to ensure jobs are executed with precision, within scope, and to SmartRoof’s quality standards.
THE RESPONSIBILITIES
Project Scheduling & Coordination
- Maximize weekly project output
- Coordinate daily installation schedules with subcontractors and field teams
- Ensure job readiness through permit approval, material delivery, and crew confirmation
- Maintain real-time job visibility using CRM systems and internal trackers
Job Intake & Closeout
- Review project documentation, measurements, and insurance details
- Ensure completion documents, photos, and inspections are captured
- Notify Accounts Receivable when jobs are complete and ready for billing
Field Team & Subcontractor Collaboration
- Assign Project Managers to jobs and communicate all key job details
- Serve as the first escalation point for delays, changes, or jobsite challenges
- Monitor subcontractor performance, quality, and scheduling adherence
- Provide feedback to the Production Director on recurring execution issues
System & Process Accountability
- Uphold accuracy and consistency in CRM job status tracking
- Follow all PMO-established SOPs for scheduling and documentation
- Identify operational inefficiencies or delays and propose process fixes
Customer Experience
- Communicate with homeowners as needed to provide updates or resolve issues
- Ensure production milestones and homeowner expectations are consistently met
- Partner with the Quality Manager to proactively address workmanship concerns
Expected Outcomes
- Projects are executed on-time, within scope, and without preventable delays
- CRM system reflects accurate, real-time job status
- Subcontractors and internal teams are performing to company expectations
- Homeowners receive high-touch communication throughout the project lifecycle
- Operational issues are identified early and resolved quickly
Key Metrics of Success
- Weekly Job Output: Consistently manages and maximizes roofing projects per week with minimal delays or escalations.
- Production Cycle Time: Maintains an average in-production cycle time of 10 business days or less from job start to completion.
- CRM Accuracy & Compliance: Maintains 100% up-to-date and compliant job records in the CRM according to PMO SOPs.
- Subcontractor Performance: Achieves a 90% or better subcontractor adherence rate to schedule, scope, and workmanship standards.
EXPERIENCE & QUALIFICATIONS
- 5+ years of experience in construction, roofing, or project management
- Experience managing field operations, scheduling, and subcontractor coordination
- Strong working knowledge of project workflows, CRM tools, and permitting
- Ability to manage multiple projects in a fast-paced, deadline-driven environment
- Excellent communication and leadership skills with a solutions-oriented mindset
TRAVEL REQUIREMENTS
This role requires travel to all SmartRoof markets, including but not limited to Maryland, Virginia, DC, Pennsylvania, New Jersey, and North Carolina on an as needed basis.
