Job Description:
Are you a motivated, self-starter with real estate experience looking for a part-time opportunity in the near south Chicago? We are a dynamic real estate agency seeking an organized and detail-oriented Administrative Assistant to join our team. This position offers flexibility and the chance to work with a growing team in a fast-paced real estate environment.
Key Responsibilities:
- Manage the Real Estate transaction process for buyer, seller, landlord and renter clients from start to finish, acting as a point of contact for attorneys, inspectors, other realtors, and lenders.
- Prepare and manage contracts, disclosures, and transaction-related documents with clients and all transaction parties via Dotloop/emails. Upload documents to company systems, and ensure all documents are completed and filed correctly.
- Manage contacts and tasks in the CRM, ensuring accuracy and completeness.
- Prepare and manage listings, marketing materials, and client communications.
- Keep track of important dates and manage the calendar (listing, open houses, contracts, Attorney/Inspection review, appraisal, mortgage contingency, closing), print critical documents for final walkthrough and closing.
- Schedule and coordinate buyer tours, inspection, walk through and manage Top Agent Network buyer profiles/searches.
- Order photography and floor plans, meet with photographers at properties to ensure high-quality images, prepare listing to submit to MLS (Multiple Listing Service), and market listing in social media platforms.
- Execute social media marketing campaigns and update the company website and social media platforms (Instagram, Facebook, Twitter, LinkedIn, Vimeo, YouTube, Google, etc)
- Organize and help facilitate client appreciation events and create/send direct mail to past, current, and prospective clients.
- Assist with day-to-day administrative tasks, including scheduling appointments, coordinating showings, and managing communications with clients.
- Provide general office support, including managing emails, phone calls, and property research
- Handle other administrative tasks as needed to support the team..
Qualifications:
- Two years plus experience in real estate or a related field is required.
- Strong understanding of real estate contracts, processes, and procedures.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks.
- Proficiency with Microsoft Office and Google Suite; experience with real estate software is preferred.
- Ability to work independently with minimal supervision and as part of a team.
- Strong communication skills, both written and verbal.
- Local in the near south Chicago or willing to commute to the area.
- Valid driver's license and reliable transportations, local in the near south Chicago, 100% office based.
- Must be a reliable self-starter with a positive attitude and a professional demeanor.
Compensation: Competitive hourly rate based on experience.
