Position overview
This is the heartbeat-of-the-office role. As our Office Administrator, you'll work directly with the owner to keep daily operations organized and running smoothly. From scheduling service calls to supporting the field team, you'll be the glue that holds everything together and the friendly voice our customers hear when they call.
What you'll do
Day-to-day responsibilities
- Answer incoming calls and deliver a warm, professional first impression
- Schedule service and installation appointments; manage company calendars
- Follow up with customers before and after visits
- Register equipment warranties and process permits and paperwork
- Assist with payroll support and bill payment
- Coordinate with vendors and suppliers
- Maintain accurate customer records
- Help customers with financing paperwork and questions
- Support technicians and installers with scheduling, parts, and communication
- Order office supplies and keep the workspace organized
- Provide general administrative support to the owner and team

- Professional, friendly phone etiquette
- Comfort with Microsoft Office and Google Workspace
- QuickBooks experience (preferred)
- Housecall Pro experience (a plus, but we'll teach you)
- HVAC industry experience (helpful, not required — we'll get you up to speed)
