About the Role
The Tax Resource Support Specialist assists the Tax Resource Manager in coordinating staffing, tracking workflow, and supporting both internal and outsourced tax resources. This role focuses on execution, data tracking, and facilitating communication across teams to help ensure tax engagements are appropriately assigned, effectively monitored, and delivered on time. The position plays a key role in supporting efficient resource utilization and meeting client service deadlines.
Essential Duties & Responsibilities
Resource Coordination Support
- Assist in assigning tax engagements to appropriate staff based on guidance from the Tax Resource Manager
- Maintain and update staffing schedules and resource allocation trackers
- Monitor daily workload distribution and flag imbalances or capacity concerns
- Support real-time adjustments to staffing during peak periods
Outsourcing Coordination Support
- Assist with routing work to outsourced tax preparation teams
- Track status of outsourced engagements, including start dates, due dates, and completion
- Ensure all required documentation, instructions, and source files are complete before sending work externally
- Follow up with outsourcing teams on outstanding deliverables and deadlines
- Escalate delays, quality concerns, or process issues to the Tax Resource Manager
- Maintain logs of outsourced work, including volume, turnaround time, and rework
Workflow Tracking & Administration
- Maintain workflow systems and ensure engagements are updated accurately
- Track project status across preparation, review, and completion stages
- Perform regular data integrity checks within workflow tools
- Assist in enforcing standardized workflow procedures and naming conventions
Reporting & Data Analysis
- Generate routine reports on capacity, utilization, turnaround times, and project status
- Compile outsourcing performance data (timeliness, errors, rework trends)
- Provide insights to support staffing and workload decisions
- Assist with building dashboards or trackers for leadership visibility
Communication & Coordination
- Serve as a key communication link between tax staff, managers, and outsourcing teams
- Send deadline reminders, status updates, and follow-ups
- Coordinate handoffs between preparation and review teams
- Document and communicate workflow or process updates
Process Improvement Support
- Identify workflow inefficiencies, delays, or recurring issues
- Provide feedback on process gaps, especially related to outsourcing coordination
- Assist in implementing standardized procedures and best practices
- Support training efforts by reinforcing workflow expectations
Requirements
Education
- Associate’s degree preferred
- High school diploma or equivalent required or equivalent required;
- 2–4 years of experience in public accounting, tax support, or administrative coordination
- Exposure to tax workflows (1040, 1065, 1120) preferred
Skills & Competencies
- Strong organizational and time management skills
- High attention to detail and accuracy
- Ability to manage multiple priorities in a deadline-driven environment
- Strong communication and follow-up skills
- Proficiency in Excel
- Analytical mindset with ability to interpret basic performance data
- Ability to follow and reinforce standardized processes
