OVERALL PURPOSE OF THE JOB
The Technical Assistant is required to be responsible for providing administrative support to the various engineering groups and their team members, and performing general administration duties in support of the Group Engineering Department.
KEY ACTIVITIES AND ACCOUNTABILITIES
- Provide administrative support to all members of the Group Engineering (GE) department as required, organisation of training courses.
- Support Engineering in various project engineering activities, regarding document and cost control aspects.
- Collect and distribute mail, faxes etc.
- Monitor and order stationary and office supplies for Group Engineering.
- Assist in setting up meeting rooms, booking and ensuring materials in place. Administer room booking and camera/projector registers.
- Booking of travel arrangements and advising management of travel plans prior to confirming booking.
- Prepare payroll staff timesheets on a monthly basis and assist in processing of contractor’s timesheets.
- Log and maintain GE sickness and holiday register.
- Administer and maintain the GE enquiries e-mail account with regards to processing of Engineering Requests (ERFs), Technical Bulletins and Independent Review Certificates (IRCs). Process IRC requests with 3rd party service provider.
- Raise purchase requisitions as required by members of GE, under the supervision of line manager.
- Assisting the Management Systems Administrator with tasks as required.
- Report any hazardous defects in plant, equipment and workplace, or shortcomings in the existing controls, to a responsible person without delay.
JOB KNOWLEDGE AND QUALIFICATIONS
- 3+ years previous experience in an office environment
- Proficient in Microsoft office (Excel, Powerpoint and Word)
