Job Summary
The OPS Field Placement Assistant provides administrative and operational support for field placement activities within the School of Behavioral Health and Social Services. The position assists with data management, communication with students and community partners, maintenance of placement records, and support of field education operations. This position works closely with faculty, students, and field placement sites to ensure accurate records and efficient coordination of field placement processes.
Job Description
Essential Duties and Responsibilities
- Perform data entry and maintain student, site, and placement records in electronic databases and tracking systems.
- Review, audit, and update field placement databases to ensure accuracy, completeness, and compliance with program requirements.
- Generate reports and assist with basic data analysis related to field placement activities.
- Communicate with students regarding placement documentation, deadlines, and program requirements.
- Contact field placement sites and community agencies to obtain information, verify records, and support placement coordination efforts.
- Assist faculty and field placement personnel with tracking student placements, site information, and affiliation documentation.
- Organize and maintain electronic files, spreadsheets, and databases.
- Provide administrative support for field placement operations and special projects.
- Attend meetings as requested and provide follow-up documentation when needed.
- Perform other duties as assigned.
Minimum Qualifications
- High school diploma or equivalent.
- Experience with data entry, database management, or administrative support.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
Preferred Qualifications
- Associate's or Bachelor's degree in Social Services, Education, Business Administration, or a related field.
- Experience working in higher education, healthcare, counseling, social services, or a related environment.
- Experience with database management systems, student information systems, Exxat, or similar platforms.
- Experience collecting, analyzing, and reporting data.
- Experience communicating with community agencies, students, faculty, and other stakeholders.

- Ability to manage multiple projects and deadlines.
- Strong customer service and interpersonal skills.
- Ability to work independently with minimal supervision.
- Ability to analyze information and identify data discrepancies.
