WHY DOES THE JOB EXIST?
The Senior Business Operations Analyst will:
- Provide administrative and financial support for personnel and operational processes.
- Serve as a liaison between The Office of Human Resources (OHR), managers, field office staff, and employees by responding to personnel and financial inquiries via phone and email at a non-supervisory level.
- Determine appropriate personnel actions, coordinate them with management and OHR, and ensure proper routing and documentation.
- Assist with the preparation, review, tracking, transfer, and follow-up of personnel actions, including recruitment, hires, promotions, transfers, re-classifications, reporting structure changes, and location changes.
- Manage the full life cycle of notary requests and renewals, including associated financial processing and compliance requirements.
- Process and manage financial related tasks associated with notary services and other assigned responsibilities.
- Prepare requisitions, process purchase orders, track payments, and support additional financial and administrative functions as assigned.
HOW DOES IT GET DONE?
The Senior Business Operations Analyst is responsible for:
- Assisting with preparing and routing paperwork required for various personnel actions, tracking and monitoring these actions, following up on requested items, drafting necessary personnel documents, and maintaining electronic copies of completed position and personnel action requests.
- Using electronic tools and platforms such as Monday.com and SHARE Financials to support workflow and documentation needs.
- Reviewing, researching, processing, and responding to complex customer inquiries in a timely and accurate manner.
- Developing resources and guidance for Hiring Managers to streamline HR processes and financial tasks.
- Cross-training in all assigned financial duties and mastering SHARE Financials to support broader team coverage.
- Staying current with Notary requirements, ensuring timely re-certification, and verifying that all stamps meet state standards.

Internal and external Child Support Services Department (CSSD) customers including:
- CSSD Director and Deputy Directors
- Attorneys
- Hiring Managers
- Notaries
- Vendors
- HCA Administrative Services Division (ASD)
- HCA Office of Human Resources (OHR)
- Other HCA Divisions
- Other state agencies
MINIMUM QUALIFICATION
Associate Degree in Business Administration, Public Administration, or Accounting and one (1) year of directly related job experience in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or in the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling three (3) years may substitute for the required education and experience.
EMPLOYMENT REQUIREMENTS
- Must possess and maintain a valid Driver's License.
- Must possess or obtain Defensive Driving Certificate.
- Employment is subject to a pre-employment criminal background investigation and is conditional pending results.
WORKING CONDITIONS
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
