ROLE OVERVIEW
Authentic is looking for a part-time Office Manager to keep our Dayton office running smoothly. This role is the go-to person for everything office-related — facilities, supplies, vendors, and day-to-day logistics — working closely with People Operations, and also extending that same support to employees and visitors. This is a great fit for someone who's organized, self-directed, and enjoys being the person who makes an office feel well cared for, without needing a lot of oversight to get there.
JOB RESPONSIBILITIES
Own day-to-day office operations so the workplace stays clean, stocked, organized, and ready for employees and visitors.
Office operations & supplies:
- Monitor inventory and restock snacks, beverages, kitchen items, toiletries, and general office supplies
- Manage office supply procurement and ordering to maintain inventory levels within budget
- Keep conference rooms, common areas, kitchens, storage spaces, and supply areas organized
- Conduct regular office walkthroughs and address routine needs before they become larger issues
Onboarding, visitors & events:
- Keep onboarding materials stocked and prepare desks and shared spaces for new hires, visitors, and traveling team members
- Set up monitors and basic office equipment, escalating technical issues to IT when needed
- Coordinate weekly Dayton office team lunches, including headcount, dietary restrictions, ordering, delivery, setup, and cleanup
- Assist with office outings, off-sites, holiday celebrations, and employee-recognition activities
- Research venues and vendors and coordinate RSVPs, food, supplies, decorations, transportation, and day-of logistics
Facilities & vendor management:
- Serve as the day-to-day contact for the property manager, cleaners, delivery teams, and routine office vendors
- Report, track, and follow up on facilities issues around the office
- Coordinate approved office services and projects as needed
- Track quotes, invoices, delivery dates, installation schedules, and outstanding vendor follow-ups
- Escalate sensitive, urgent, or higher-cost decisions to People Operations Associate.
REQUIRED SKILLS AND EXPERIENCE
- 1+ years of experience in office management, facilities, administrative, or hospitality roles preferred
- Reliable and consistent — someone the team can count on to show up and follow through
- Proactive and comfortable working independently, managing multiple priorities with minimal oversight
- Comfortable being on your feet and moving often throughout the day (restocking, setup/cleanup, light lifting, walking the office)
- Strong organizational skills and high attention to detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office/Google Workspace and general office technology
- Based in or near Dayton, Ohio, and able to be onsite during scheduled office hours
PREFERRED
- Experience coordinating vendors or tracking budgets, quotes, and invoices
- Experience planning office events, off-sites, or employee-recognition activities
- Experience coordinating with People/HR or property management/facilities teams
- Insurance or financial services industry experience is a plus, though not required
