ROLE AND RESPONSIBILITIES:
We are looking for an Office Manager for our Washington, D.C., headquarters who will report directly to the Chief Advisor to the CEO. The successful candidate will partner directly with Juul Labs executives based in D.C. and the Office of the CEO to ensure the headquarters is managed and operated effectively. The Office Manager will also serve as an executive assistant to a small group of senior executives at the company.
The ideal candidate must be proactive with excellent problem solving and judgment skills. The individual must be able to handle details of a highly confidential and critical nature, interact comfortably and skillfully with senior level executives within and outside the company, as well as with lawmakers, regulators, and other public and private sector stakeholders. The successful candidate will be expected to resolve time-sensitive issues with a high degree of precision and exhibit strong organizational, written, and verbal communication skills. Attention to detail and the ability to anticipate the needs of the executive leadership team are a must. The ability to credibly and competently interact with executive assistants and managers within / outside of Juul Labs is essential. The successful candidate will be expected to execute tasks with minimal direction. The Office Manager must have the ability to accommodate flexible work schedule, based on the needs of management.
KEY RESPONSIBILITIES:
- Manage operations at Juul Labs’ headquarters – including strategic oversight and execution of activities around budgeting and compliance
- Liaise with other teams within the company and external parties to ensure efficient workflow and handling of internal requests
- Plan, organize, and manage multiple calendars
- Book travel and manage logistics
- Collaborate closely with the Office of the CEO, and other executive functions
- Plan and execute cross-functional events
- Ensure timely communications and handling confidential information
- Project manage tasks to ensure follow-up to action items
- Work on several projects and priorities at once for multiple senior executives
- Work with managers on team activities such as off-sites and retreats
- Handle internal logistics including conference room management, meeting / event catering, etc.
PERSONAL AND PROFESSIONAL QUALIFICATIONS:
- 7 years’ experience as an executive administrative assistant in a fast paced company
- Clear and concise verbal and written communicator
- Experienced travel and logistics planner
- Experience working with cross functional teams within an office
- Excellent ability to collaborate with others
- Adaptable and resourceful in a dynamic environment
- Ability to manage multiple competing priorities simultaneously
- Detail-oriented with strong problem-solving skills
- Ability to own projects from start until successful completion
- Proven ability to perform under pressure in a fast-paced environment
- Able to demonstrate maturity, professionalism, and social acumen to maintain productive working relationships with internal and external constituents
Education:
- Bachelor’s degree preferred

SALARY RANGE:
- Salary Range: $104,000—$127,000 USD
Salary varies by role, level and location, and is dependent on the cost of labor in a given geographic region among other factors. These ranges may be modified at any time.
