Summary/Objective:
Responsible for all business office tasks performed at the center level per Business Office Manager job description along with the following additional oversight. The Senior Business Office Manager is responsible for the overall financial operations and revenue cycle management of multiple long-term care facilities. This leadership role ensures accurate billing, timely collections, compliance with Medicaid/Medicare regulations, and effective oversight of accounts receivable processes. The position supports regional and facility leadership with strategic planning and training, promotes financial accuracy, and enhances operational efficiency across business office functions.
Essential Functions:
- Oversee day-to-day operations of the business office, including admissions, billing, collections, and resident trust management.
- Lead and support business office managers at assigned facilities or within a regional scope.
- Ensure timely and accurate billing and collections for Medicare, Medicaid, Managed Care, and Private Pay accounts.
- Monitor accounts receivable aging reports and develop corrective action plans for outstanding balances.
- Ensure compliance with all applicable federal, state, and company policies regarding billing and reimbursement.
- Train and mentor business office staff, fostering a culture of accountability and performance.
- Collaborate with clinical, admissions, and corporate teams to ensure accurate census management and payer source tracking.
- Manage month-end close processes, revenue reconciliation, and reporting deadlines.
- Serve as a liaison to regional leadership, auditors, and external agencies as needed.
- Assist in developing policies, procedures, and best practices for business office operations.
- Assist in training of HR procedures and best practices for the business office operations.
- Assist in training of Accounts Payable procedures and best practices for the business office operations.

- Reports and documents any incidents or accidents of residents, staff or visitors to the appropriate North Shore HealthCare personnel
- Use required protective equipment (as needed during center visits)
- Follow infection control standards, policies and procedures

- Help the residents/patients exercise and/or protect their rights
- Maintain confidentiality of resident/patient and employee information
HIPAA
- Follow and adhere to North Shore Health’s policies and procedures implementing HIPAA requirements for the privacy and security of protected health information
- Use and/or disclose only minimum amount of Protected Health Information necessary to complete assigned tasks
- Report all suspected violations of company’s HIPAA policies or procedures to North Shore Health Compliance Department.
Required Education and Experience:
- High school diploma or equivalent required.
- Minimum 5 years of experience in a business office management role within long-term care or skilled nursing facilities.
- Strong knowledge of Medicare, Medicaid, Managed Care, and third-party payer billing.
- Proven leadership experience with multi-site or regional oversight preferred.
- Proficiency in electronic health records (EHR) and billing systems (e.g., PointClickCare, RFMS, etc.).
- Strong knowledge of Microsoft Office package.
- Excellent analytical, organizational, and communication skills.
- Ability to travel within region, if applicable.
