Job Summary
We are seeking a detail-oriented and energetic Accounting Clerk/Administrative Assistant to join our team. This role offers an exciting opportunity to support our financial operations through precise data entry, account reconciliation, and administrative tasks. Responsibilities
- Manage accounts payable and receivable processes using various financial software such as QuickBooks and Appfolio.
- Perform data entry of invoices, payments, and financial transactions with high accuracy and confidentiality.
- Reconcile general ledger accounts, balance sheets, and bank statements to ensure financial integrity.
- Assist with journal entries, account analysis, and month-end closing activities following GAAP (Generally Accepted Accounting Principles).
- Support budgeting efforts by preparing spreadsheets and conducting Excel data analysis for financial planning.
- Handle customer service inquiries related to billing, payments, and account information promptly and professionally.
- Communicate with the property management team regarding tenant account discrepancies, missing payments, subsidy issues, and other accounting-related matters.
- Assist with accounts payable and accounts receivable, bank and account reconciliations.
- Record tenant payments and other property-related transactions.
- Maintain accurate accounting records for multiple properties and entities.
- Review invoices for the appropriate property, account coding, approvals, and supporting documentation.
- Assist with preparing checks and electronic payments.
- Maintain vendor records, including W-9s and payment information.
- Maintain organized electronic and physical accounting records.
- Assist the Controller and property management team with monthly reporting and other accounting projects as needed.
- Assist with tenant account reconciliations and research discrepancies as needed.
- Assist with tenant move-out and account closeout procedures, including reviewing outstanding balances, credits, deposits, and final charges.
- Assist with processing tenant chargebacks and pass-through charges, ensuring expenses are properly documented and allocated to the appropriate tenant.
- Assist with recording, tracking, and reconciling tenant subsidy payments.
- Review tenant subsidy accounts and assist with updating payment adjustments, changes, and outstanding balances.
- Assist with identifying and researching discrepancies between expected and received subsidy payments.
- Assist with the monthly review and posting of tenant late fees in accordance with lease terms and company procedures.
- Assist with delinquency and late rent collection.
- Assist with maintaining accurate tenant ledgers and supporting documentation for charges, payments, credits, and adjustments.
Requirements
- Minimum 1 year of accounting, bookkeeping, accounts payable/receivable, or property management accounting experience preferred.
- Proven experience in accounting or finance roles with familiarity in corporate and governmental accounting practices.
- Strong knowledge of GAAP standards, double-entry bookkeeping, journal entries, debits & credits, and account reconciliation procedures.
- Excellent numeracy skills combined with attention to detail for accurate data entry and account analysis.
- Ability to handle confidential information discreetly while maintaining high ethical standards.
- Experience with financial concepts including budgeting, credit analysis, and account management is preferred.
- Competency in Microsoft Office Suite—especially Excel—for data analysis and reporting purposes.
- Strong organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
