This is a high-visibility, cross-functional role for someone who is equal parts process architect, project manager, and change agent. You'll work with sales, marketing, legal, finance, and business unit leaders to bring consistency and efficiency to how the organization creates and delivers proposals.
- Conduct an organization-wide audit of existing proposal templates, formats, and workflows across all regions, branches, and departments
- For each branch implementation, interview stakeholders to understand current pain points, requirements, and must-have content blocks (legal language, pricing tables, branding, compliance disclaimers, etc.)
- Document current-state processes and identify redundancies, risks, and gaps for use during implementation at that branch
- Design a unified proposal template framework and content library that meets the needs of all departments while enforcing brand and legal consistency
- Assist with defining governance standards for template ownership, version control, and future updates
- Work with brand/marketing and legal teams to validate standardized language, formatting, and compliance requirements
- Map standardized templates and content blocks to the new proposal tool's architecture
- Partner with AI and Application development teams to provide input on enhancements based on standardized templates and workflows
- Provide UAT for tool
- Update proposal templates in file folders as they change
- Develop a training curriculum and supporting materials (guides, videos, quick-reference sheets) for end users across the organization
- Deliver live training sessions and/or train-the-trainer programs across departments/regions
- Build a communication and rollout plan to drive adoption, including phased pilots, feedback collection, and iteration
- Establish a support model (FAQs, office hours, champions network) for post-launch adoption
- Define KPIs to measure adoption, efficiency gains, and proposal quality/turnaround time
- Establish an ongoing governance process for template updates, new content requests, and tool enhancements
- Provide regular status updates and outcomes reporting to leadership
- Solicit feedback from end-users and stakeholders to continuously improve business processes to address emerging needs
- Minimum 1 years of relevant experience.
- Strong quantitative and analytical skills; ability to derive trends and conduct risk/reward analysis.
- Strong analytical and problem-solving skills.
- Proficiency in data analysis tools and techniques.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively with cross-functional teams.
- Experience with business process modeling and documentation tools.
- Knowledge of project management methodologies and tools.
Preferred Qualifications:
- Proficiency in Microsoft Office 365 products and collaboration tools
- Excellent project management skills with the ability to handle multiple projects simultaneously and meet deadlines, while also diligently managing deliverable timelines for overall project portfolio success
- This position requires occasional domestic overnight travel, approximately 10% to 20% of the time, to support
project needs. Destinations typically include job sites, field locations, or regional offices, where work may be
conducted in outdoor or operational environments. Adherence to all company safety protocols and use of PPE is
required during travel and on-site work Physical Demands & Work Environment:
- This position operates in a hybrid work environment, requiring flexibility to work effectively from both a professional office and a home office setting, and the ability to communicate and collaborate seamlessly in both virtual and in-person environments.
