Turn Interest Into Appointments
fillir is seeking a motivated, results-driven Client Conversion & Retention Specialist to manage incoming leads and reconnect with clients who have canceled, lapsed, or have not scheduled their next appointment.
This is an inside-sales position focused on converting warm, qualified leads into booked appointments. Leads are generated through fillir’s marketing efforts and managed through Go High Level, so cold calling and outside prospecting are not the primary focus of this role.
The ideal candidate is personable, persistent, organized, and comfortable communicating with prospective and existing clients by phone, text, and email. This person should be able to build trust quickly, overcome objections, educate clients on our services, and confidently guide them toward scheduling the treatment or consultation that best fits their needs.
Success in this role will be measured by lead response time, appointment conversion rate, rebooking rate, appointment show rate, and revenue generated from converted leads and reactivated clients.
Key Responsibilities
Lead Management and Conversion
- Manage all qualified leads received through Go High Level and other approved marketing channels.
- Respond promptly to new inquiries by phone, text, and email.
- Educate prospective clients on fillir’s services, providers, locations, pricing, promotions, membership options, financing, and appointment availability.
- Ask thoughtful questions to understand each prospective client’s interests, concerns, goals, and potential barriers to booking.
- Recommend the appropriate consultation, service, provider, or location based on the client’s needs.
- Use consultative sales techniques to overcome objections and guide qualified leads toward booking an appointment.
- Maintain consistent follow-up with prospective clients who do not book during the initial interaction.
- Schedule appointments accurately within fillir’s booking platform.
- Confirm that each lead receives a timely, professional, and personalized experience.
Lapsed Appointment and Client Reactivation
- Follow up with clients who canceled, did not reschedule, missed an appointment, or have not returned within the recommended treatment timeframe.
- Identify clients who are due or overdue for maintenance treatments and conduct personalized outreach.
- Reengage inactive clients by providing relevant treatment information, current promotions, membership benefits, or appointment availability.
- Work to recover canceled appointments and fill last-minute openings across fillir locations.
- Document client feedback and identify recurring reasons clients are not booking or returning.
- Escalate clinical questions, complaints, or sensitive client concerns to the appropriate provider or manager.
Sales Tracking and Reporting
- Maintain complete and accurate lead records, notes, follow-up activities, and outcomes in Go High Level and other company systems.
- Track key performance indicators, including:
- Lead response time
- Contact rate
- Lead-to-appointment conversion rate
- Lapsed-client rebooking rate
- Appointment show rate
- Revenue generated from converted leads
- Number of follow-up attempts
- Lead source and campaign performance
- Provide regular reports on lead activity, conversions, reactivated clients, and revenue results.
- Analyze lost-lead reasons and recommend opportunities to improve messaging, promotions, scheduling, and the overall client journey.
- Collaborate with leadership, marketing, Practice Managers, and Client Coordinators to improve lead quality and conversion performance.
Client Experience
- Represent fillir’s brand with warmth, professionalism, urgency, and accuracy.
- Deliver an exceptional experience during every phone, text, and email interaction.
- Build genuine relationships while helping clients feel comfortable and confident about scheduling.
- Communicate transparently without making medical claims or guaranteeing treatment results.
- Protect confidential client and business information.
- Follow all company policies, communication standards, and applicable privacy requirements.
Qualifications
- Two or more years of experience in inside sales, consultative sales, lead conversion, client retention, hospitality, customer service, or a related role.
- Demonstrated ability to achieve sales, booking, or conversion goals.
- Strong closing, objection-handling, and relationship-building skills.
- Excellent written and verbal communication skills.
- Strong active-listening skills and the ability to communicate with empathy and confidence.
- Comfortable making a high volume of outbound follow-up calls, texts, and emails.
- Highly organized and able to manage multiple leads at different stages of the sales process.
- Comfortable being held accountable to measurable performance goals.
- Proficient with customer relationship management systems, scheduling software, spreadsheets, and standard business technology.
- Experience with Go High Level is preferred but not required.
- Experience in aesthetics, medical services, wellness, hospitality, or another appointment-based business is preferred.
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
