SUMMARY
The Site Manager provides operational leadership for an assigned clinic site(s), ensuring safe, efficient, and high quality daily operations. This role oversees patient flow, supervises staff, partners with clinicians, ensures compliance, manages resources, and drives a positive patient experience. The Site Manager executes organizational initiatives and is responsible for achieving site level performance standards. This role may oversee multiple clinic sites or a single high volume location. Occasional travel is required.
Responsibilities
Operational Leadership & Workflow Management
- Oversee all daily clinic operations to ensure efficient patient flow and timely service delivery.
- Lead daily huddles; communicate updates, workflow changes, expectations, and organizational priorities clearly.
- Proactively resolve operational barriers.
- Ensure exam rooms, workspaces, and equipment are prepared and maintained to standards.
- Monitor service issues and escalate complex concerns promptly.
Staff Leadership & Performance Management
- Develop staff schedules, manage coverage, approve timecards, and ensure staffing levels meet operational needs.
- Select, interview, and hire employees within approved staffing plans.
- Coach, evaluate, and manage staff performance, including corrective action with HR support.
- Foster a positive, collaborative, and high performing environment.
Patient Experience & Communication
- Monitor patient wait times, flow, and satisfaction indicators; take action to maintain an excellent patient experience.
- Promote consistent service behaviors, communication standards, and effective service recovery.

Compliance, Safety & Quality

- Track quality measures, identify performance gaps, and develop corrective plans.
- Oversee compliance with all regulatory safety standards related to employee and patient safety, including adherence to environment of care requirements.
- Maintain Emergency Management readiness and lead preparedness activities for the clinic(s).
Financial & Resource Management
- Oversee inventory, routine supply ordering, and resources used to minimize waste.
- Monitor expenses within approval thresholds and identify cost saving opportunities.
- Support financial performance through efficient operations and staffing.
Facility, Vendor & Environmental Coordination
- Coordinate facility maintenance, vendor services, custodial functions, and equipment servicing.
- Oversee the physical clinic environment to maintain clean, well kept, and patient ready facilities, equipment, and workspaces.
Process Improvement & Implementation
- Implement new workflows, initiatives, and organizational changes and train staff accordingly.
- Identify opportunities to improve efficiency, patient experience, and operational effectiveness.
Administrative Duties
- Review and reconcile daily deposits (cash/check) and ensure accuracy.
- Manage email and calendar priorities; respond to messages and calls promptly.
- Schedule and lead monthly team meetings.
- Monitor key performance indicators, quality metrics, patient satisfaction, and other clinic metrics; and facilitates meeting goals and expectations.
Other Duties
- Maintain confidentiality of sensitive information.
- Document workflows and participate in policy and procedure updates.
- Availability outside standard business hours as operational needs arise.
- Perform other duties as assigned.
EDUCATION/EXPERIENCE
- High school diploma or equivalent.
- Bachelor's degree (B.A.) from four-year college or university preferred.
- Minimum two years management experience and/or training; or equivalent combination of education and experience.
