As the operational heartbeat of the Facilities Department, the Facilities Service Coordinator manages daily service needs and performs sensitive, technical and administrative functions in support of the Facilities Operation team. This is a full-time, 40-hour a week, non-exempt, on-site position.
Job Responsibilities:
- Greets all visitors to the department and answers the phone, responding to inquiries, requests for information and providing assistance. Manages contractor access and distributes keys and access cards as needed.
- Works with the Facilities Management Maintenance System (TMA) to accept, create, categorize and distribute work orders to the Facilities team. Assists with the scheduling and communication of campus work. Provides workflow analysis by running and reviewing work order reports. Updates work order system databases, facility related documents, spreadsheets and files as needed.
- Organizes and tracks invoices, purchase orders, purchase card receipts, and other accounting documents.
- Oversees student employee work and coordinates the student employees schedules each semester. Provides basic software training and instruction regarding office task execution to student employees. Ensures that the front office and phone have appropriate coverage during business hours.
- Maintains office key inventory, including new key and lock change requests. Enters and maintains key code changes and collaborates with Housing to ensure seamless service for students. Tracks and processes lost key charges.
- Communicates with the campus community as well as outside contractors and vendors regarding campus work.
- Assists with ordering materials and supplies and maintaining supply inventories.
- Completes additional assignments and tasks per the direction of the Facilities Leadership team.
Job Required Qualifications:
- Be able to communicate through computer email, telephone voice mail systems, two-way radio systems and cell phones; able to use intermediate functions of a computer, including competency with Microsoft Office, Google Suite and work order management systems for tracking work orders, managing scheduled meetings and work, managing email, and other files and documentation.
- Able to maintain a clean and organized working environment that is conducive to a team environment.
- Strong English written and verbal communication and interpersonal skills are required. Willingness to work some overtime and occasional weekend hours.
