How You Will Make an Impact:
The Project Specialist supports the successful execution of capital projects by coordinating documentation, materials, schedules, and cross-functional activities across the project lifecycle. This role is ideal for an experienced professional with strong project support, operations, construction coordination, or administrative experience who may not have held a formal project management title. The Project Specialist helps keep projects organized, on track, and aligned with business, safety, and quality expectations while partnering closely with project leaders, field teams, vendors, and subcontractors.
Responsibilities:

Coordinate project-related activities, documentation, and communication to support timely and effective project execution.

Support development and maintenance of work plans, schedules, trackers, and status updates for active projects.

Assist with budget tracking, purchase requests, invoice coordination, and other project-related administrative processes.

Partner with subcontractors, vendors, and internal teams to help coordinate staffing, materials, deliverables, and timelines.

Maintain organized project files, logs, and document control systems to ensure records are accurate and up to date.

Monitor project milestones and escalate risks, delays, or issues to project leadership as appropriate.
-
Prepare reports, meeting notes, and project summaries for project leaders and stakeholders.
-
Serve as a key point of coordination between field teams, office staff, subcontractors, and project leadership.

Coordinate ordering, tracking, and delivery of project materials, supplies, and equipment.
-
Support continuous process improvement by identifying opportunities to improve project coordination, documentation, and workflow efficiency.

Know and comply with all safety policies, standards, and procedures that apply to your job.

Actively participate in all required training and safety meetings.

Use the correct tools and use them safely.

Immediately report all incidents, near-misses, and unsafe conditions to your supervisor.

Qualifications

Bachelor's degree is preferred, or equivalent combination of education and directly related experience.

3+ years of experience in project coordination, project support, construction administration, operations support, logistics, or a related function.

Experience supporting complex, fast-paced work with multiple stakeholders, deadlines, and competing priorities.

Proficient in Microsoft Excel, Word, and PowerPoint.

Experience working with ERP or project systems; Epicor preferred.

Strong organizational skills with attention to detail and follow-through.

Strong verbal and written communication skills.

Ability to work effectively in a cross-functional team environment.

Ability to manage sensitive or changing information with professionalism and sound judgment.

Ability to work Monday–Friday with occasional night or weekend support as business needs require.
