Responsibilities
The Medical Support Assistant provides comprehensive administrative and operational support within a clinical medical environment. This position is responsible for front office functions that support patient care, clinician workflow, and clinic operations. Duties include patient scheduling and registration, insurance processing, billing support, medical record management, inventory control, and customer service. The role requires strong organizational skills, professionalism, attention to detail, and the ability to effectively multitask in a fast-paced clinical setting.
Front Office & Patient Services
- Perform daily opening and closing procedures including verification of cash vault balances, credit card closeouts, deposit reconciliation, and reporting to accounting.
- Greet and assist patients, visitors, students, faculty, and staff in person, by multi-line telephone, email, or fax.
- Schedule, confirm, check in, and check out patients; distribute and process patient forms; collect payments.
- Answer multi-line phone systems, monitor clinic voicemail, and follow up as needed.
- Assist patients with questions and provide accurate information regarding clinic services.
- Monitor clinic parking to ensure compliance with designated patient parking areas.
Medical Records & Documentation
- Prepare charts and medical records and generate daily operational reports.
- Enter all patient information accurately into Electronic Medical Records (EMRs).
- Scan all documentation into EMRs and verify accuracy prior to authorized destruction.
- Distribute medical records requests to appropriate personnel in compliance with privacy regulations.
Insurance, Billing & Financial Processing
- Verify patient insurance coverage and process insurance authorizations.
- Retrieve required orders and referral documentation.
- Post patient payments into EMRs and track outstanding charges.
- Conduct monthly follow-up with clinicians regarding charges not entered.
- Maintain a monthly worksheet of all checks received within the clinic.
Referrals, Scheduling & Communication
- Notify clinicians of new referrals for review and appropriate scheduling.
- Mail, fax, or email new patient packets as needed.
- Track medical referrals as required.
Inventory, Supplies & Office Operations
- Maintain office supplies and oversee clinic mailroom operations including USPS, FedEx, UPS, and interoffice mail.
- Log and track work orders for two copiers.
- Maintain office shredder and ensure secure disposal of documents in locked bins for scheduled pickup.
Qualifications
High school diploma or equivalent and two years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)
Preferred Qualifications
- Ability to demonstrate effective customer service skills.
- Ability to establish and maintain effective working relationships.
- Ability to prioritize, organize and perform multiple work assignments simultaneously.
