ROLE AND RESPONSIBILITIES
We are seeking a dedicated, organized Executive Assistant to support the day-to-day operations of our Adult Crisis Center. This facility offers short-term crisis stabilization, intervention, and resource referral services. We help individuals avoid hospitalization or incarceration during times of acute need. The Executive Assistant is a confidential employee working under the supervision of the Crisis Center Program Administrator. The Executive Assistant provides administrative support to carry out day-to-day operations. They will be required to follow other instructions and to perform other duties as assigned by their supervisor.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Responsible for managing daily administrative processes to ensure optimal operations.
- Collaborates with the Admissions/Discharge Coordinator to meet clients' needs.
- Reviews and processes check requests and checks.
- Answers and directs incoming calls.
- Sorts and prioritizes mail. Answers routine correspondence and telephone inquiries independently, advises the Program Administrator when appropriate.
- Copies, collates, and distributes important material to appropriate parties.
- Assists Program Administrator in maintaining facility expenditures within the approved budgets.
- Reviews and tracks new hire packets, training requests, and other Payroll / Human Resources processes for the facility’s staff.
- Assists Program Administrator in maintaining and updating personnel files, which includes reprimands and separation documentation.
- Logs, tracks, produces and reviews reports.
- Assists Program Administrator with maintenance schedules.
- Responsible for placing orders for the facility.
- Good verbal and written abilities, clerical ability to compile, interpret and utilize information. Must be able to communicate effectively with staff.
- Must be able to work with minimal supervision, use good judgment, maintain confidentiality, and prioritize workload.
- Performs a variety of other related duties as requested.
BASIC QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. - Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
EDUCATION, CERTIFICATES, LICENSES, REGISTRATIONS, AND MEDICAL SCREENING
- A Bachelor's degree or higher education is required, along with a minimum of three years of experience in administrative support, executive assistance, or similar role.
- Experience in the Behavioral Health field is preferred.
ADDITIONAL REQUIREMENTS
- Pre-hire and annual employee health screening required.
- Annual influenza vaccine required. Only exception is for employees with a medical or religious exemption approved by Administration. Employees with an approved medical or religious exemption must wear a mask at all times during the flu season.
- Covid-19 vaccine required.
