Bachelor’s Degree in Sports Administration or related field and four (4) years of related work experience or equivalent combination of education and work experience. Valid driver's license must be insurable by University insurance carrier. Ability to travel and work nights, weekends and holidays required. Grade 6 (Salaried)
Position Description:
The Athletic Operations Program Manager I will have the primary function to direct the day to day operations of the University of Louisville Softball program. This includes team travel, purchasing, meals, special events, marketing, social media, community service, internal communications, external communications, relationships with alumni and parents, and assistance with matters pertaining to compliance and recruitment. This position reports directly to the Head Softball Coach.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Home game/event responsibilities: execute and disseminate all home event game contracts; coordinate travel, payment, and communication with all game day officials; serve as point of contact for visiting teams. Coordinate game day operations with marketing, facilities, sports information, and game management staff.
- Coordinate all team travel and coaches' travel. Execute all vendor contracts related to team travel. Submit expense reports and meet applicable deadlines.
- Primary point of contact with the business office. Responsible for all pro-card reconciliations, travel vouchers, purchase orders, and monthly budget reconciliations.
- Travel with the team at the discretion of the head coach.
- Promote an atmosphere of compliance within the program through strict adherence to NCAA, ACC, and university rules and regulations through monitoring of program activities, active involvement, and commitment to continuous rules education, timely submission of compliance-related documents, and immediate reporting of any knowledge of potential rules violations involving self or others.
- Assist in marketing and social media operations of Softball program.
- Coordinate all special events for the team (Batter Up, Alumni Weekend, etc.)
- Manage Softball donor club and serve as point of contact for club.
- Manage alumni database and communicate regularly with alumni to increase engagement.
- Utilize Teamworks Software and GroupMe App for team communication.
- Other duties as assigned by the Head Softball Coach
PREFERRED QUALIFICATIONS
- Effective administrative, organizational, and problem-solving skills and the ability to prioritize time-sensitive tasks and projects according to deadlines.
- Prior work experience with a collegiate women’s softball program
- Proficient in Adobe Suite, Microsoft Office, and ARMS
- Knowledge of NCAA rules and regulation.
- Effective verbal, written, and interpersonal communication skills.
Compensation will be commensurate to candidate experience.
