Position Overview:
EXO Industries Corp. is seeking a highly organized and detail-oriented Construction Administrator with strong SAGE experience to support the financial and operational functions of our construction projects. This role is responsible for project administration, job costing, contract documentation, billing processes, change order management, and maintaining accurate project records.
The ideal candidate has experience in construction accounting, understands project lifecycles, and can effectively support project managers, accounting teams, subcontractors, and clients while ensuring project documentation and financial data remain accurate and up to date.
Key Responsibilities:
- Maintain and organize project documentation, contracts, subcontracts, and project files.
- Support project managers with administrative and operational tasks throughout the project lifecycle.
- Manage project setup and maintenance within Sage 100 Contractor or Sage 300 CRE.
- Process accounts payable and accounts receivable related to construction projects.
- Track project budgets, costs, and financial performance.
- Prepare and process AIA billing applications and supporting documentation.
- Manage and track change orders, contract modifications, and project updates.
- Monitor subcontractor invoices, payment applications, and lien waivers.
- Assist with job costing, project forecasting, and cost analysis.
- Generate project, financial, and management reports using Sage.
- Coordinate with subcontractors, vendors, clients, and internal teams to ensure accurate project records.
- Maintain compliance documentation and support project closeout activities.
- Ensure all project records, billing documentation, and financial data are accurate and up to date.
- Support month-end reporting and reconciliation processes.
- Assist leadership with project tracking, reporting, and administrative support as needed.
Qualifications:
- Minimum 3 years of experience using Sage 100 Contractor or Sage 300 CRE.
Preferred
- Experience in facade restoration, masonry, waterproofing, or exterior envelope construction.
- Knowledge of NYC construction and restoration projects.
- Familiarity with subcontract management and procurement processes.
- Associate's or Bachelor's degree in Accounting, Construction Management, Business Administration, or a related field.
- Minimum 3 years of construction administration and/or construction accounting experience.
- Strong understanding of job costing, project accounting, and construction financial processes.
- Experience preparing and managing AIA billing applications.
- Experience managing change orders, contracts, and project documentation.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Excellent organizational, analytical, and communication skills.
- Ability to manage multiple projects and deadlines simultaneously.
