Job Purpose
The Donor Database Specialist plays a critical role in advancing the mission of Greenwich United Way by ensuring the integrity, accuracy, and strategic use of donor and stakeholder data across our CRM system Blackbaud Raiser’s Edge. This position is responsible for maintaining comprehensive records for donors, volunteers, staff, and Board members to support reporting, communications, and fundraising efforts.
This role helps strengthen Greenwich United Way’s ability to mobilize resources and deliver impact by organizing and leveraging data to deepen relationships with individual donors, corporate partners, and community stakeholders. The Donor Database Specialist supports the organization’s fundraising strategy by enabling data-driven decision-making, identifying opportunities for growth, and ensuring seamless gift processing, acknowledgment, and reporting.
Through this work, the position directly contributes to Greenwich United Way’s mission to improve lives and build a stronger, more equitable community.
Position Details
- Status: Part-Time
- Schedule: 15–18 hours per week
- Compensation: $35–$40 per hour, commensurate with experience
Essential Functions
Systems and Database Management
- Manage all aspects of the Raiser’s Edge database, ensuring data integrity, accuracy, and timely updates.
- Maintain high-quality donor records, including tracking engagement, giving history, and stewardship activities.
- Troubleshoot database issues and coordinate with vendor support to ensure optimal system performance and adoption of updates.
- Oversee integrations and data flow between Raiser’s Edge and other organizational systems.
- Conduct prospect research to support donor cultivation, stewardship, and solicitation strategies.
- Collaborate with Development leadership to align data systems with fundraising goals and reporting needs.
Gift Entry, Acknowledgment, and Reconciliation
- Run gift entry processes to ensure accuracy and timeliness.
- Generate and distribute donor acknowledgment letters and tax receipts.
- Produce pledge reminders and invoices as needed.
- Coordinate monthly reconciliation processes between Development and Finance data.
- Support year-end reporting and audit preparation in partnership with Finance.
Reporting and Cross-Functional Support
- Develop and generate reports, queries, dashboards, and donor lists to support fundraising campaigns, events, and performance tracking.
- Assist with donor stewardship processes, particularly for entry-level and mid-level gifts.
- Partner with the Marketing and Communications team to support campaign reporting, event registration, and data-sharing needs.
- Train staff on database systems and best practices.
- Provide administrative support for donor-related processes, sponsorships, and special initiatives.
- Contribute to special projects and organizational priorities as assigned.
Required Qualifications
- 1+ years of experience with Blackbaud Raiser’s Edge
- Strong proficiency in Microsoft Excel and Word
- Experience with data analysis, reporting, and database management
- High level of discretion and ability to maintain confidentiality of donor information
- Strong written and verbal communication skills
- Demonstrated ability to manage multiple priorities, meet deadlines, and maintain accuracy
- Ability to work both independently and collaboratively across teams
- Commitment to the mission and values of Greenwich United Way
- Ability to work occasional evenings or weekends for events
Education
Bachelor’s degree in a related field or equivalent combination of education and relevant experience
