Position Summary

The Development Operations & CRM Manager serves as the primary administrator for the National Pediatric Cancer Foundation's fundraising technology ecosystem, including Virtuous CRM+, GoFundMe Pro, and related fundraising platforms.

This position ensures donor information moves accurately between fundraising systems, supports efficient fundraising operations, and identifies opportunities to improve processes through technology, automation, and data-driven decision making.

Working closely with Development, Marketing, Finance, and external technology partners, this individual continually identifies opportunities to improve efficiency, enhance the donor experience, and strengthen fundraising operations.

This is an on-site position located in Tampa, Florida. Remote work is not available.

Primary Responsibilities

Fundraising Operations

· Strengthen the Foundation's fundraising operations by ensuring the systems, processes, and data that power fundraising are accurate, efficient, and donor-centered.

· Ensure donor acknowledgments, tax receipts, pledge reminders, and other stewardship communications are processed accurately and in a timely manner.

· Support mid-level donor initiatives and other donor engagement strategies through reporting, automation, segmentation, and operational support.

Fundraising Systems & Technology

· Serve as the primary administrator for Virtuous CRM+ and an operational administrator for GoFundMe Pro ensuring reliable integrations and accurate data flow between fundraising platforms.

· Manage and optimize the Foundation's fundraising technology ecosystem to improve efficiency, reliability, and scalability.

· Serve as the technical bridge between Development, Marketing, Finance, and fundraising technology vendors to ensure accurate, efficient, and reliable movement of fundraising data across systems.

· Collaborate with Virtuous Support, GoFundMe Pro, and other software vendors to troubleshoot issues, evaluate new functionality, and implement system enhancements.

· Research and recommend third-party applications, integrations, automation tools, and emerging technologies that strengthen fundraising operations.

Gift Processing, Data Quality & Reporting

· Manage gift processing, donor records, imports, and ongoing database administration while maintaining the highest standards of data integrity.

· Develop standardized import, validation, and data-cleaning procedures that improve efficiency and reduce manual effort.

· Work with the Chief Financial Officer to reconcile fundraising activity between Virtuous CRM+ and QuickBooks and ensure the accuracy of financial and donor records.

· Build reports and dashboards that provide meaningful fundraising metrics, key performance indicators, and operational insights for leadership.

· Monitor database health, identify recurring data issues, and recommend corrective actions.

Process Improvement & Collaboration

· Continuously identify opportunities to improve fundraising operations through automation, standardized workflows, system enhancements, and practical applications of AI.

· Design and maintain automation that improves donor stewardship, internal workflows, and operational efficiency.

· Train staff on organizational standards, fundraising systems, and CRM best practices.

· Collaborate across Development, Marketing, Finance, and other departments to ensure fundraising technology supports organizational goals.

· Perform other duties as assigned.

Qualifications

Required

· Bachelor's degree or equivalent professional experience.

· Three to five years of experience administering a CRM or fundraising technology platform.

· Experience with Virtuous CRM+, HubSpot, Salesforce, Microsoft Dynamics, Blackbaud, Bonterra, or similar CRM platforms.

· Experience managing CRM administration, reporting, data imports, system configuration, and fundraising operations.

· Advanced Microsoft Excel skills.

· Strong analytical, organizational, and problem-solving abilities.

· Excellent written and verbal communication skills.

Preferred

· Experience with Virtuous CRM+ and GoFundMe Pro OR similar systems

· Experience working in nonprofit fundraising or development operations.

· Experience with CRM automation, workflow design, and fundraising system integrations.

· Familiarity with APIs, middleware, webhooks, data mapping, or workflow automation platforms.

· Practical experience using AI tools to improve productivity, reporting, documentation, or operational efficiency.

Pay: $26.83 - $32.31 per hour
