We are seeking an organized, customer-focused Service Writer to serve as the key link between our customers, drivers, shop technicians, and management.
Position Overview
As the Service Writer, you will be the primary point of contact for incoming service customers and fleet drivers. You will greet customers, document vehicle symptoms, write accurate work orders, coordinate work schedules with technicians, and clearly communicate estimates and repair updates. This role requires exceptional organization, clear communication, basic mechanical knowledge, and a commitment to keeping shop workflow moving smoothly.
Key Responsibilities & Duties
- Customer Care & Intake: Greet commercial customers and drivers professionally, listen carefully to vehicle concerns, and record detailed symptom descriptions on work orders.
- Work Order Management: Create, track, and update repair orders within the shop management system, ensuring proper coding of labor, parts, and customer details.
- Estimates & Approvals: Prepare clear repair estimates, communicate maintenance recommendations to vehicle owners/fleet managers, and secure approval before work begins.
- Shop Coordination: Partner directly with the Shop Manager and Diesel Technicians to prioritize jobs, convey repair deadlines, and monitor job progress.
- Parts & Billing Communication: Collaborate with the Parts Manager to verify component availability and ensure accurate pricing prior to final invoicing.
- Customer Follow-Up: Provide proactive status updates to customers throughout the repair process and perform post-service follow-ups to ensure satisfaction.
- Workspace & Administrative Maintenance: Keep front-desk paperwork, phone logs, and desk workspaces organized, clean, and professional.
Qualifications & Skills
- Experience: 3+ years of service writing, service advising, or administrative experience in an automotive, heavy-duty commercial truck, or equipment repair shop setting.
- Technical Understanding: Familiarity with heavy-duty diesel engines, commercial trucks, trailers, and general shop terminology preferred.
- Communication: Excellent verbal and written communication skills with a customer-first attitude.
- Computer Proficiency: Comfortable with shop management software, email, and basic office administrative tools.
- Detail-Oriented: Ability to multi-task in a fast-paced environment while maintaining high accuracy in paperwork and customer billing.
