Overview
The Dispatch & Pickup Operations Coordinator plays a vital role in ensuring all vehicle and scrap pickup operations run smoothly, efficiently, and on schedule. This position serves as the central point of communication between customers, towing companies, drivers, buyers, and internal yard operations.
The coordinator is responsible for maintaining accurate communication, optimizing dispatch schedules, monitoring driver performance, and delivering exceptional customer service. This role directly impacts pickup efficiency, customer satisfaction, driver productivity, and overall operational profitability. Success in this position requires excellent organizational skills, attention to detail, strong decision-making abilities, and the ability to thrive in a fast-paced environment.
Essential Duties & Responsibilities
- Serve as the primary communication hub between customers, towing companies, drivers, buyers, and internal operations.
- Coordinate and manage daily vehicle and scrap material pickup schedules.
- Dispatch drivers efficiently while optimizing routes to reduce travel time and fuel costs.
- Collect complete and accurate customer information, including vehicle details, title status, pickup location, and special instructions.
- Ensure drivers receive all necessary job information before dispatch.
- Answer incoming calls professionally, courteously, and with a customer-first attitude.
- Prioritize urgent pickups and adjust schedules as operational needs change.
- Monitor driver progress throughout the day and proactively address delays or operational issues.
- Perform timely follow-up with customers regarding pickup status, required documentation, and scheduling updates.
- Maintain accurate records using the company's dispatch and customer management software, including ADD123.
- Ensure compliance with company policies regarding vehicle documentation, titles, payments, and operational procedures.
- Coordinate closely with yard personnel to ensure smooth workflow from pickup through processing.
- Assist management in identifying opportunities to improve dispatch efficiency and operational performance.
- Support overall operational excellence while maintaining outstanding customer satisfaction.
Minimum Qualifications
- Minimum of two (2) years of experience in dispatching, logistics, towing coordination, auto salvage, recycled materials, transportation, or scrap operations.
- Experience working in a fast-paced, high-volume operational environment.
- Strong time management, organizational, and multitasking skills.
- Excellent phone etiquette and customer service abilities.
- Experience using dispatch, routing, or customer management software.
- Proficiency with Microsoft Office (Outlook, Word, and Excel).
- Experience with ADD123 software is preferred but not required.
- Ability to make sound decisions and work independently with minimal supervision.
