GENERAL FUNCTION:
Support the financial and operational administration of the technology portfolio through effective management of invoicing, purchase order tracking, financial reporting, research, analysis, and governance activities. Partner with technology leaders, finance, procurement, vendors, and enterprise support teams to ensure accurate financial records, timely payment processing, adherence to governance requirements, and informed decision making. Maintain reporting, metrics, tracking tools, and operational processes that support portfolio planning, budgeting, forecasting, and financial oversight.
Responsible for identifying, researching, and resolving financial and operational issues while maintaining a strong focus on accuracy, process improvement, and customer service. Support the execution of portfolio management processes and provide analytical insights that improve operational efficiency and financial transparency.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Manage and track purchase orders, invoices, and financial commitments throughout the lifecycle from request through closure.
- Coordinate with vendors, Accounts Payable, Procurement, and internal stakeholders to ensure timely invoice processing and payment.
- Research and resolve invoice discrepancies, payment exceptions, and purchase order issues.
- Maintain detailed records and supporting documentation related to contracts, purchase orders, invoices, funding approvals, and financial transactions.
- Support monthly financial reporting activities, including budget tracking, accruals, forecasts, variance analysis, and management reporting.
- Develop, maintain, and enhance portfolio dashboards, scorecards, financial reports, and operational metrics.
- Perform financial and operational research, data analysis, and trend identification to support management decision making.
- Support budgeting, forecasting, investment planning, and financial governance activities across the technology portfolio.
- Maintain operational tracking tools and ensure the accuracy and integrity of portfolio financial data.
- Identify, recommend, and implement process improvements that increase efficiency, transparency, and reporting effectiveness.
MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Strong written, verbal, and interpersonal communication skills.
- Strong analytical and problem-solving abilities with attention to detail and accuracy.
- Strong collaboration and partnership skills with the ability to work across multiple teams and disciplines.
- Demonstrated aptitude for critical thinking, research, and data analysis.
- Experience supporting financial operations, procurement, invoicing, budgeting, reporting, or related business functions.
- Knowledge of financial management concepts including budgeting, forecasting, accruals, variance analysis, and financial reporting.
- Proficiency in Microsoft Excel, PowerPoint, Word, and other Microsoft Office applications.
- Experience working with financial, procurement, or enterprise resource planning systems.
- Proactive individual with a strong customer service mindset and a proven ability to work independently.
- Demonstrated curiosity and initiative to learn new processes, systems, and business functions.
- 4+ years of relevant experience in financial operations, portfolio administration, procurement support, business analysis, or related disciplines.
