Job Description Summary
The Financial Accountant II, under general supervision of the Chief Financial Officer (CFO) and Accounting Services Supervisor, manages the full range of accounts receivable activity for four TVMDL laboratory locations.
Responsibilities
Accounts Receivable: Manages all business activities related to the billing and collection of TVMDL fee income. Position handles processing payments from a variety of sources, including checks, ACH’s, and credit card payments. Posts payments in the TVMDL Laboratory Information Management System (LIMS) daily. Ensures accuracy of all postings. Prepares payments for entry into TAMUS financial system (FAMIS) and prepares all payments for deposit in agency bank accounts. Works with other Finance team members to ensure daily deposits are made according to TAMU System policy.
Client Billing: Position is the primary contact for TVMDL clientele on billing questions. Maintains daily interaction with clients to answer billing questions, resolves billing errors, and assists with past due collections. Creates all client accounts, and ensures processing meets TAMUS System policy. Facilitates communication daily with Texas A&M AgriLife Fiscal Office regarding cash management issues. Supervises and assists with the month end closing process in the LIMS and generates all reports. Oversees the monthly process of final monthly invoices. Reviews and audits reconciliations of client accounts; prepares monthly and annual financial reports for management by collecting information from a variety of sources. Works cooperatively with other laboratory locations, and Client Services to maintain excellent customer service for TVMDL clientele.
Other: Serves as responsible backup for Chief Financial Officer (CFO) and Accounting Services Supervisor for select duties and processes. Provides support and accommodates requests as needed. Assists CFO and Accounting Services Supervisor on routine fiscal activities of the agency. Proposes solutions to financial problems, coordinates maintenance of business files. Develops summary reports on TVMDL fee revenue for CFO; prepares business related correspondence. Develops, monitors, and reports on budget projections as they relate to fee income and assists in drafting new fiscal year plans. Assists in planning and developing operational and financial procedures and processes. Develops methods for improving efficiency and maintenance of internal control; ensures progress on assigned projects.
SOPs, Procedures, Forms, Other Documentation: Creates and modifies Standard Operating Procedures (SOP) for the Finance Office as directed by the CFO and Accounting Services Supervisor.
Fiscal: Assists with the management of financial transactions, including assigning costs to appropriate accounts. Plans, coordinates, and evaluates policies, procedures, and guidelines; makes recommendations to CFO and Accounting Services Supervisor. Works with CFO and Accounting Services Supervisor on annual fiscal year end closing activities for the agency. Performs other job-related duties as required.
Quality Assurance & Safety: Actively participates in quality assurance and safety programs, cross training, and skill development as applicable.
Additional Position Details:
- This position is required to work onsite during normal business hours M-F 8 am to 5 pm.
- TVMDL is located on the campus of Texas A&M University (TAMU). Parking permits are available from TAMU at the expense of the employee.
- TVMDL is considered an essential component of the Texas A&M University System (TAMUS) and remains operational for a number of “open holidays” in which overtime or compensatory time may be earned.
Qualifications
Required Education and Experience:
- Bachelor’s degree or equivalent combination of education and experience.
- Two years of related experience.
Required Knowledge, Skills and Abilities:
- Oral and written communication skills.
- Customer service skills.
- Ability to multitask and work cooperatively with others.
Preferred Education and Experience:
- Two years of business office experience.
- Familiarity with Texas A&M University System applications, operations and policies including FAMIS/Canopy, AggieBuy, Concur/Emburse, Origami, and Laserfiche.
Preferred Knowledge, Skills and Abilities:
- Knowledge of word processing and spreadsheet applications.
- Interpersonal and communication skills.
- Planning and organizational skills.
