The Polio Eradication Surge Capacity Support Team was established to work closely with the CDC and other Global Polio Eradication Initiative (GPEI) partners in-country to improve surveillance, lead preparedness, and coordinate outbreak response activities during outbreaks in high-risk countries.
KEY RESPONSIBILITIES:
- Leads and provides project management support for a variety of projects which may involve financial administration, compiling and reviewing metrics, the upgrade of software systems, etc.
- Develops and manages project time lines.
- Works closely with project team/departments to identify and resolve concerns.
- Assumes responsibility for timely delivery of project deliverables as scheduled.
- Develops and maintains databases and reports.
- Designs presentations in support of department's needs.
- Tracks departmental budgets and forecasts future budget needs.
- May plan and coordinates special events.
- May maintain and update the departmental website.
- Performs related responsibilities as required.
- A bachelor's degree and three years of project, financial and/or administrative management experience or an equivalent combination of education, training and experience.
- Proficiency with Excel and Access.
ADDITIONAL JOB DETAILS:
The Project Support Specialist provides vital project management, financial administration, and operational support to the Polio Eradication Surge Capacity Support Team within the Task Force for Global Health.
- This role drives project deliverables to completion, manages timelines, tracks program budgets, and maintains databases and reports.
- Working closely with internal departments, CDC personnel, and GPEI partners, the Project Support Specialist helps resolve operational concerns and ensures seamless day-to-day administrative, logistical, and financial coordination for outbreak response initiatives.
Project Management & Deliverables (35%)
- Provide project management support for a variety of projects involving financial administration, metrics reviews, and software system upgrades.
- Assume responsibility for the timely delivery of project deliverables as scheduled.
- Adhere to project timelines, facilitating team calls, summarizing meetings, and tracking action items.
- Assist the Project Manager in compiling, generating, and submitting regular field technical, performance, and status reports.
Financial & Budgetary Support (25%)
- Track departmental budgets, monitor travel budget expenditures for deployed staff/consultants, and assist in forecasting future budget needs.
- Conduct monthly reviews and program-level processing of consultant and contractor invoices and expense reports.
- Work closely with CVE, financial management, and TFGH finance teams to ensure timely payment processing and to provide data for financial reports.
- Support program contractors and consultants in-country with budget development.
Data Management & Communications (15%)
- Maintain databases, project tracking systems, and regular performance reports.
- Design presentations in support of departmental needs.
- Maintain and update the departmental website as required.
Operational & Cross-Functional Coordination (25%)
- Work closely with project teams, TFGH units, CDC, and GPEI field offices to identify and resolve operational and administrative queries.
- Coordinate the deployment of Surge resources, staff, and consultants to support outbreak preparedness and response in target countries.
- Provide immediate administrative, financial, logistical, and security-related support to deployed staff and consultants.
- Plan and coordinate special events, meetings, and team workshops.
- Perform related responsibilities and participate in broader TFGH organizational initiatives as required.
PREFERRED QUALIFICATIONS:
- Experience supporting international public health programs or projects, particularly in complex operating environments.
- Familiarity with the administrative and financial processes of partner agencies (e.g., WHO, UNICEF, CDC).
- Strong organizational, problem-solving, written communication, and cross-cultural collaboration skills.
- Proficiency in Microsoft Office tools and project management software (e.g., Smartsheet).
- Proficiency with Google for Business.
