INTRODUCTION
Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with offices in strategic hubs of commerce, law, and government across North America, Asia, Europe, and the Middle East, is seeking to hire an HR Assistant. Reporting to the Senior Manager, HRBP, the HR Assistant provides a wide range of clerical and administrative support to the Human Resources Department. Responsibilities include but are not limited to maintaining personnel records, preparing HR documents for employees, answering routine inquiries, and performing other duties as assigned. Works under close supervision and supports the activities of the HRBPs for the attorney population.
ROLE
This position can reside out of the Philadelphia, Boston, or Chicago offices and offers a hybrid in-office/remote working schedule.
Local HR Responsibilities include:
Onboarding and Departures
- Assists with arranging new hire check in meetings and 45-day check ins.
- Handles sending departure documents when employees depart from the firm.
- When local office support is needed, maintain inventory of all new hire gifts for assigned offices.
- Coordinates with Local HR to confirm the collection of firm property, security badge and keys upon departure for assigned offices.
Employee Relations
- Liaises with HRBPs/Management and employees to provide support as requested.
- Assists with the annual and mid-year attorney and legal staff evaluation processes.
- Supports the firm’s management principles, policies and programs and ensures they are fairly applied.
- Assists with memo and document preparation for personnel actions at the direction of Sr. Manager, HRBP.
Local Strategies and Support
- Assists with or coordinates/supports local Administrative/HR events as needed including Benefits Fair, Flu Shot Program, Benefits Open Enrollment, Diversity & Inclusion Presentations, Take Our Children to Work Day, Staff Appreciation, Step Challenge and Community Impact Week.
Compliance
- Maintains accurate and up to date human resource files, records, and documentation with confidentiality and integrity.
- Assists with employment verification process upon escalation.
- When support is needed, completes local I-9 processes for new hires and departures and supports the PG/Department HRBP with immigration issues accordingly.
HRIS
- Ensure HRIS transactions are processed timely and accurately.
- Runs reports for HRBPs as requested.
- Assists employees with evaluation systems training and issues as requested.
Special Projects
- Contributes to Firm and HR projects assigned.
- Liaises with HRBPs and Centers of Excellence including Talent Acquisition, Total Rewards, Compliance, HRIS and Compensation to provide local support as needed in areas such as performance evaluations, transaction requests, employee relations, recruiting, etc.
- Responsible for online purchasing of office gifts for leaves, arrival of newborns, bereavement when practice groups request.
- Performs other duties as assigned.
EDUCATION AND EXPERIENCE
- Bachelor's Degree in HR or related field preferred.
- Minimum of two years of directly related Human Resources experience, preferably in the professional services industry. An equivalent combination of education and experience will be considered.
- Excellent organizational skills; effective written and oral communication skills.
- Proficiency with Microsoft Office Suite, Workday.
- High energy; self-motivated; results oriented.
- Confident manner; ability to establish credibility quickly.
- Ability to work comfortably in a matrix organization.
- Ability to deal positively with adversity and difficult situations.
- Team player who can establish trust with all levels of personnel.
LOCATION
This position can reside out of the Philadelphia, Boston, or Chicago offices.
For positions in Boston, MA, the salary range for this job posting is: $53,200.00 - $85,150.00
For positions in Chicago, IL, the salary range for this job posting is: $50,900.00 - $81,425.00
The base salary or hourly wage range for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors. The final salary or hourly wages offered may be outside of this range based on other reasons and individual circumstances. Additionally, salary or hourly wages may be only part of the total compensation package. The total compensation package for this position may also include a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment.
