Summary: PDC is seeking a professional, dependable, and detail-oriented Legal Administrative Assistant to join its team in Downtown Salt Lake City. This position requires a demonstrated history of diligence and working efficiently in a confidential legal environment, with advanced computer skills and the ability to stay organized and prioritize multiple tasks and time-sensitive deadlines. This position provides full administrative support to the General Counsel and to Legal department on a wide variety of functions and will play a key role in ensuring the smooth functioning of day-to-day legal operations. This role operates on a hybrid work model in downtown Salt Lake City.
Principal Responsibilities:
- Provide administrative support to the General Counsel, and members of the legal department as assigned, by organizing files, assisting with document preservation, tracking key matters and initiatives, and ensuring deadlines, follow-up items, and supporting materials are not missed.
- Provide administrative support to the and work with teams throughout the organization and occasionally with outside contacts.
- Schedules, organizes, prepares and coordinates various meetings and prepares agendas, meeting materials and minutes, and other documents and projects.
- Manage calendars, meetings, deadlines, reminders, and follow-up items across multiple matters.
- Coordinate travel arrangements, and submit and reconcile monthly expense reports.
- Maintain legal, corporate, safety, and compliance records with accuracy and confidentiality.
- Manages multiple priorities and deadlines with exemplary follow-through and confidentiality.
- Types and assembles of a variety of documents including letters, memos, technical and legal documents, emails, meeting minutes, reports, charts, presentations, and other documents.
- Conducts basic legal research and gathers documentation as needed
- Prepare, proofread, format, and organize contracts, reports, correspondence, presentations, and other business documents.
- Draft and edit professional emails, summaries, internal communications, and other correspondence.
- Other duties as assigned
Qualification/Skills & Knowledge Requirements:
- Associate's degree or equivalent of 2+ year’s experience in an executive or legal administrative or legal assistant role; legal office experience in a law firm or corporate legal department is strongly preferred.
- Excellent organizational skills, strong oral, written, and interpersonal communications, and a strong commitment to customer service.
- Anticipates needs, handles matters expeditiously, follows through to successful completion, often with deadlines and time-sensitive, urgent matters.
- Strong Microsoft Office skills, particularly with Word, Excel, Outlook, PowerPoint, Copilot, and legal document management systems.
- Demonstrated ability to manage multiple priorities, deadlines, documents, and requests while maintaining accuracy.
- Strong follow-through and the ability to independently track open items through completion.
- Professional judgment and the ability to handle confidential and sensitive information appropriately.
- A dependable, proactive approach and the ability to work effectively with executives, legal professionals, internal teams, and outside contacts.
- Must have high level of interpersonal skills to handle sensitive and confidential situations.
- Excellent ability to adapt to changing priorities and unexpected demands while staying self-motivated.
- Proven history of exceptional attendance and punctuality.
- Notary certification or willingness to obtain is a plus.
