INTRODUCTION
The Berklee Emerging Technologies Lab (BEATL) advances creative, ethical, and responsible innovation at the intersection of music, technology, and the arts. We are seeking a proactive, highly organized, and tech-savvy Operations and Project Coordinator to provide executive-level support and project management services. Reporting directly to the Founding Executive Director, you will build the operational foundation that turns ambitious partnerships and research into structured action. If you are an administrative anchor who excels at helping creative, divergent thinkers stay organized and accountable, this hands-on role is for you. At Berklee, your work directly supports the next generation of creative leaders.
KEY RESPONSIBILITIES
Project Management & Operating Rhythm:
- Project Roadmaps: Develop, track, and execute project workflows and timelines, proactively identifying bottlenecks, resource gaps, or scheduling conflicts.
- Agile Structures: Support lightweight agile or scrum-inspired practices (sprint planning, daily standups, and backlog tracking) to keep team goals moving forward with clear momentum.
- Meeting Architecture: Manage complex calendars for BEATL leadership. Coordinate agendas, space reservations, tech setups, and actionable follow-up items for internal and external partners.
Logistics, Finance & Administration:
- Event Coordination: Manage the end-to-end logistics for BEATL workshops, panels, artist visits, and industry convenings, including catering, AV setup, RSVPs, and run-of-show documentation.
- Travel Management: Coordinate multi-point travel itineraries, flight/hotel bookings, and campus access for international guests, visiting artists, and staff.
- Financial Operations: Oversee departmental expenses, purchase card reconciliations, vendor onboarding, invoices, and purchase orders in lockstep with Berklee Finance and Accounting.
Cross-Institutional Liaison & AI Workflows:
- Departmental Connector: Serve as a central liaison across institutional wings, including Marketing, Advancement, Legal, HR, Facilities, and Academic Affairs to leverage collective resources.
- AI-Enabled Efficiency: Identify opportunities to deploy AI and modern automation tools to streamline scheduling, generate meeting summaries, optimize document tracking, and eliminate repetitive administrative tasks.
WHAT YOU'LL BRING
- Experience: 3–5+ years of progressive experience in project coordination, program operations, executive support, or high-level event logistics. A Bachelor's or Associate's degree is preferred, but equivalent professional experience is highly valued.
- Digital Tool Mastery: Practical proficiency with enterprise project-management software (e.g., Asana, Trello, Notion, Airtable) and core ecosystems (Google Workspace, MS Office, Mac OS).
- Tech-Forward Mindset: Direct experience or a strong curiosity regarding how AI and automation tools can optimize modern workflow structures responsibly while maintaining privacy and data compliance.
- Attributes: Exceptional organizational clarity, a strict sense of accountability, and professional discretion. You are someone who thrives when building order out of fast-moving, creative ambiguity.

Operations Coordinator Jobs in Boston: Frequently Asked Questions
How do I get a operations coordinator job in Boston?
Focus on Boston's highest-volume hiring sectors: healthcare systems in Longwood, biotech and life sciences in Kendall Square and the Seaport, universities across the city, and financial services firms in Back Bay. Candidates who stand out typically bring project coordination experience, familiarity with ERP or project management tools, and the ability to work across departments in complex organizations. Tailoring your resume to the sector you are targeting matters more here than a generic application.
Which companies hire operations coordinators in Boston?
Companies currently hiring operations coordinators in Boston include Dana-Farber Cancer Institute, Vertex Pharmaceuticals, and State Street, per current listings on Migrate Mate as of June 2026. Boston's employer mix leans heavily toward large academic medical centers, life sciences firms, and professional services organizations, all of which maintain dedicated operations teams.
Are there remote operations coordinator jobs in Boston?
Yes, though it depends on the role. Operations coordinator work tends to be on-site when it involves facilities, logistics, or clinical environments, and more remote-compatible when it centers on scheduling, reporting, or vendor management. About 31% of operations coordinator openings tied to Boston are remote or hybrid as of June 2026. Desk-based and analytics-heavy coordinator roles at tech and financial services firms in the Seaport and Back Bay are the most likely to offer flexible arrangements.
How can I get a operations coordinator job in Boston with little or no experience?
The most realistic entry path in Boston is through administrative or program assistant roles at universities, hospitals, or large nonprofits, which frequently promote internally into coordinator positions. Boston's concentration of teaching hospitals and research institutions also means graduate program coordinator and lab operations roles regularly open to candidates with strong organizational skills and limited direct experience. Relevant internships from Boston-area colleges and familiarity with tools like Salesforce, Asana, or Microsoft 365 can make an early-career application competitive.
Which industries hire the most operations coordinators in Boston?
Most operations coordinator openings in Boston sit in Technology & Software, Consulting & Professional Services, and Healthcare & Medical Services, per current listings on Migrate Mate as of June 2026. Boston's economy is shaped by its research hospital networks, a dense cluster of biotech and pharmaceutical companies, and a substantial higher education sector, all of which rely on operations coordinators to manage complex, multi-stakeholder workflows.
