ROLE AND RESPONSIBILITIES
As the Division Manager you will be responsible for serving as the administrative liaison with Banner and Supervisor for all trainees and administrative staff. Establishes and updates department workflow based on organizational policies and procedures, standard professional practices, guidelines, and standards as specified by accrediting agencies and related local, state, and federal laws and regulations.

Divisions Associated with this Role:
Surgical Oncology Ambulatory
This is an onsite Full Time 40 hour per week position in Tucson Arizona. Banner University Medical Group is our nonprofit faculty practice plan associated with the University of Arizona Colleges of Medicine in Phoenix and Tucson. Our 1,100-plus clinicians provide primary and specialty care to patients at highly ranked Banner - University Medical Centers and dozens of clinics while providing mentorship to more than 1,200 residents and fellows. Our practice values and encourages the three-part mission of academic medicine: research, education and excellent patient care.
Position Summary
This position serves as the administrative liaison with Banner and Supervisor for all trainees and administrative staff. Establishes and updates department workflow based on organizational policies and procedures, standard professional practices, guidelines, and standards as specified by accrediting agencies and related local, state, and federal laws and regulations.
Core Functions
- Provides supervisory/management duties for Residents, Fellows and Office/Administrative team members. Manages the trainee profiles and monitors work hours. Reports on FML notices, HIPPA violations, certificate update requirements, terminations.
- Develops and maintains effective working relationships with program directors, staff, faculty, and residents/fellows. Maintains high levels of customer satisfaction through oversight of staff interaction with customers.
- Oversees, plans, and directs the daily workflow and staffing needs of the ACGME programs as they relate to Banner tools and processes. Assists in the resolution of system issues and ensures employee conflicts are resolved efficiently.
- Approves reimbursement requests for ACGME trainees. Supervises Department of Medicine Administrative Support Staff including time approval. Provides guidance and training to Administrative Staff in the Sections and Administration regarding how to prepare Banner documents and interpret Accounts Payable, Travel and Purchasing policies and procedures.
- Reviews and trains Department of Medicine (DoM) support teams on Banner Physician/APP recruitment and travel pre-authorizations for department. Reviews Banner AP check requests, employee reimbursements, and travel expense reports for accuracy and completeness according to Banner and internal department established policies and procedures. Performs daily scan, data entry and index Banner check requests, employee reimbursements, and travel expense reports into DocuWare.
- Prepares Banner forms for the DoM Finance Office and assists Section Admins as needed or when requested. Ensures appropriate signatures on forms that will be submitted to Banner Corporate Office.
- Prepares monthly invoices for Banner (UPH/UAHN/UMC) contracts. Reviews vendor contracts and fees.
- Researches vendor inquiries and accounts payable issues. Takes appropriate action to correct the issue as needed. Creates reports from Department Database and electronic files for compiling specific expenditures when requested.
- This position works under the direct supervision of the Department Administrator, following established procedures. Uses established knowledge and problem-solving skills to work independently in a fast paced, multi-task environment. Primary responsibility is to main department assigned.
MINIMUM QUALIFICATIONS
Bachelor’s degree in business, healthcare related field or equivalent experience is required. Requires a proficiency level typically attained with 3-5+ years’ experience in healthcare operational/financial management, quality improvement, risk assessment, change management, and project/standardization work at multiple facilities. Must be adept at creating and communicating a clear and detailed program plan to internal/external stakeholders, effectively aligning resources and motivating multi-disciplinary teams to achieve goals and create partnership-style relationships. Must have demonstrated technical, organizational, project management and negotiation capabilities. Must be a self-starter with excellent ability to implement and execute. Must have the ability to balance the big picture with the day-to-day delivery details, connecting key project needs and internal resources to prioritize the workload. Must have a strong desire to improve the lives of patients, their care givers, and families. Must possess compassion and empathy coupled with accountability and execution.
