INTRODUCTION
Regional law firm with a strong national client base is seeking a highly organized and motivated Administrative Assistant to support its Estates & Trusts practice group in Pittsburgh. This is an excellent opportunity for a detail-oriented professional who enjoys working in a collaborative legal environment and managing complex case files in a fast-paced practice. The firm represents a diverse range of clients, including major corporations, privately held businesses, municipalities, partnerships, and individuals across a variety of industries. The Estates & Trusts team handles sophisticated matters and values professionals who are proactive, organized, and committed to maintaining high standards of client service.
ROLE AND RESPONSIBILITIES
- Organize and sort incoming documents by matter and document type across multiple cases
- Assist with docketing deadlines and maintaining accurate attorney calendars
- Prepare and maintain case files, including creating indexes and databases for high-volume matters
- Retrieve information quickly from open and closed files as requested by attorneys
- Label, index, and prepare records for secure storage
- Maintain and organize the firm’s file room and assist with office-wide file management
- Coordinate with attorneys, paralegals, and legal assistants to maintain an efficient filing system
- Index documents and assemble binders for new records and case materials
- Anticipate upcoming case events such as depositions or filings and ensure files are updated and organized for attorney review
BASIC QUALIFICATIONS
- High school diploma or equivalent required; additional coursework or occupational training preferred
- Strong attention to detail and commitment to producing accurate work
- Ability to manage multiple files simultaneously and prioritize tasks to meet deadlines
- Excellent written and verbal communication skills with the ability to interact professionally with attorneys, staff, and clients
- Highly organized, proactive, and collaborative team player
- Strong problem-solving skills with the ability to work independently with minimal supervision
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Experience with iManage and ProLaw is a plus
- Prior experience supporting Estates & Trusts or estate administration matters is a plus
