About the Project Management Office:
Our program office ensures People Enablement (HR) resources are delivering on the People Enablement portfolio priorities that most directly improve business performance. We specialize in portfolio and project management, guiding teams through change, designing better ways to work, and designing measures and using data to realize better business outcomes. By carefully managing how different parts of the People Enablement function and company work together, we connect big-picture strategy with tangible outcomes.
Position Summary:
As the operational backbone of our team, this role will serve as the central coordinator for project planning, resource management, and administrative governance. You will partner closely with our team and cross-functional stakeholders to define project requirements and ensure accountability to established deadlines, maintaining project momentum from initiation to completion.
This role requires a unique blend of technical scheduling expertise and hands-on operational support to translate complex deliverables into project tasks and clear summaries. This will enable stakeholders to make informed, data-driven decisions, resolve issues, and mitigate risks, ensuring all projects are delivered on time and within budget.
Key Responsibilities
Strategic Planning and Scheduling: Own and drive the development of comprehensive project plans, defining milestones, key dependencies, issues and risks, and value capture while utilizing Monday.com and other tools such as Asana, etc. to track progress and identify bottlenecks early.
Operational Excellence and Administration: Maintain the daily operational flow by coordinating logistics, managing documentation, and ensuring all project records are accurate, accessible, and compliant with program office standards.
Budget and Resource Tracking: Monitor project expenditures and resource utilization, creating detailed cost estimates and generating performance reports to ensure initiatives remain within defined scope and financial constraints.
Communication and Stakeholder Management: Serve as the primary communication link within our team, facilitating stand-ups and providing regular status updates for executive leadership to keep cross-functional teams aligned.
Process Improvement and Quality Control: Identify opportunities for workflow optimization and implement best practices, ensuring all deliverables meet specifications and establishing quality standards for future initiatives.
Required Qualifications
- 3–5 years of experience in project coordination or administrative management, with a track record of supporting successful team outcomes.
- Proficiency in project management software (e.g., Monday.com, Microsoft Project, Jira, Smartsheet) and the Google Workspace Suite.
- Demonstrated familiarity with AI-assisted project planning tools or data analytics.
- Professional certification such as CAPM or PMP or equivalent.
- Strong verbal and written communication skills with a demonstrated ability to manage multiple projects simultaneously and operate effectively in a team-based environment.
Preferred Qualifications
- Bachelor’s degree in Business Administration, Information Technology, Engineering, HR, or a related field.
- Experience in high-growth or regulated industries such as Technology, Healthcare, or Finance.
