- Prepare, revise, format, and finalize a broad range of legal documents, including pleadings, motions, contracts, correspondence, and other case-related materials.
- Utilize and customize firm templates and document shells while ensuring accuracy, consistency, and compliance with court and firm standards.
- Coordinate the production, assembly, filing, service, and organization of legal documents for both state and federal courts.
- Prepare attorney notebooks, hearing binders, trial materials, and other case management resources for depositions, hearings, mediations, and trial.
- Maintain complex attorney calendars, monitor litigation deadlines, and proactively manage scheduling to ensure compliance with court rules and case timelines.
- Review incoming correspondence, court notices, and legal documents to identify critical deadlines and communicate time-sensitive information to attorneys.
- Enter, review, edit, and finalize attorney time entries within the firm's billing platform while ensuring accuracy and timeliness.
- Assist with the billing process by proofreading invoices, managing proformas, incorporating attorney revisions, tracking approvals, and coordinating the distribution of finalized client invoices.
- Coordinate meetings, client conferences, depositions, and other events, including conference room reservations, catering, and logistics.
- Prepare professional presentations, reports, spreadsheets, and other administrative materials using Microsoft Office applications.
- Manage attorney contacts, distribution lists, electronic and physical correspondence, travel arrangements, and other day-to-day administrative functions.
- Support attorney compliance with Continuing Legal Education (CLE) reporting requirements and assist with business development and professional expense requests.
- Maintain practice group resources, internal databases, and other firm systems while adhering to the highest standards of confidentiality, professionalism, and ethical responsibility.
- Serve as a dependable resource for attorneys, clients, and colleagues by anticipating needs, exercising sound judgment, and providing exceptional client service.
- 7+ years of experience as a Legal Assistant, Practice Assistant or Legal Secretary within a law firm environment.
- Litigation experience is required, with a strong understanding of court procedures, legal filings, calendaring, and litigation support.
- Experience supporting construction litigation, engineering, architecture, or design-related matters is highly preferred but not required.
- Demonstrated experience preparing and filing pleadings in both state and federal courts.
- Strong knowledge of legal billing practices, attorney time entry, and invoice/proforma management.
- Advanced proficiency with Microsoft Office Suite, including Word, Outlook, PowerPoint, and Excel.
- Excellent organizational skills with the ability to manage multiple attorneys, competing priorities, and shifting deadlines.
- Exceptional proofreading, formatting, and written communication skills with outstanding attention to detail.
- Professional, resourceful, and proactive, with the ability to work independently while collaborating effectively with attorneys and staff.
- High level of discretion and commitment to maintaining client confidentiality and firm policies.
