JOB DESCRIPTION
Criminal Defense Legal Assistant
Role Summary
Appelman Law Firm is seeking a highly organized Criminal Defense Legal Assistant to support attorneys in state district court and federal criminal matters. This is a fast-paced, hands-on role for someone who can protect deadlines, organize complex discovery, prepare clean case materials, communicate calmly with clients, and keep criminal files moving.
WHAT YOU WILL DO
- Open and maintain criminal defense files after hire.
- Confirm charge, court, case number, custody/release status, bond or no-contact conditions, and next court date.
- Calendar hearings, filing deadlines, client follow-ups, investigator due dates, and attorney review points.
- Organize discovery, police reports, videos, lab records, warrants, photos, witness information, court orders, and client records.
- Maintain a missing-evidence log and flag urgent gaps to the attorney.
- Draft, proofread, cite-check, and file motions, pleadings, subpoenas, correspondence, and case documents after attorney review.
- Coordinate clients, courts, opposing counsel, investigators, experts, vendors, and attorney calendars.
- Assist with trial notebooks, exhibit lists, witness files, demonstratives, and hearing/trial materials.
WHAT WE NEED
- Criminal defense or litigation support experience preferred.
- State and federal filing experience preferred; CM/ECF experience is a plus.
- Strong calendar, deadline, and detail discipline.
- Ability to organize heavy discovery and make the file easy for attorneys to use.
- Professional client communication without giving legal advice.
- Clear writing, proofreading, and document-formatting ability.
- Confidentiality, maturity, and calm judgment under pressure.
- A systems mindset: checklists, task notes, file naming, follow-up, and ownership.
- Multi-tasking ability to answer and direct phone calls, while maintaining attorney tasks
- Two-way tasking with the law clerk on trial trackers to keep on trial/case flow on cue
- Keep project task manager for Law Clerk managed
NON-ATTORNEY BOUNDARY:
This role may organize, gather, calendar, summarize, draft for review, file after approval, and flag issues. It may not give legal advice, predict outcomes, evaluate plea offers, negotiate case results, or decide legal strategy.
