The Hollywood Academy of Music is currently seeking a part-time Office Administrator whose role will be supporting the Academy's daily operations, including handling enrollment, providing support to staff, teachers, students, and parents, as well as liasing with all parties to foster a supportive, friendly, and engaging environment for all students. The position reports to the Academy's Associate Director of Operations.
We develop musicians of all ages (from 2 years to adults) who enjoy performing. We strive provide an opportunity to work in a fun and hip yet professional environment with professional musicians and dedicated and ambitious students.
The position requires approximately 20 hours per week. The current position shifts include Monday's 4pm - 7pm, Tuesday and Thursday's 2:30pm - 7:30pm , and Saturday's 9am - 2pm, along with flex work from home hours on Wednesday's and Friday's.
Responsibilities
- Promote guidance and information to parents and to students; communicating and consulting with other members of the school staff and with parents to ensure the best interest of the students.
- Partners with the Associate Director to secure student recruitment and retention for private lessons, bands, and classes.
- Responsible for front desk duties and reception area.
- Administers daily renewals, billing, enrollments and schedule changes.
- Responsible for the timely opening and closing of the site.
- Greets clients and prospective clients in a polite and courteous manner.
- Understand the Academy billing policies.
- Maintain a clean and neat environment.
Requirements
- An interest in music and music education
- Ability to interface successfully with the public
- Strong interpersonal skills in order to facilitate good working relationships with faculty and staff and to interact with students and parents
- Ability to provide information to prospective parents and show them the benefits of music lessons
- Ability to work well with young people in a fast paced environment
- Ability to communicate effectively with a diverse population
- Proficiency with MS Office, Word and Excel
- Quick learner who is reliable, consistent, and ambitious
- Tech-savvy individual willing to learn new systems
