Position Summary
The Service Advisor Assistant supports the Service Advisors and service department in providing an exceptional customer experience while helping maintain an efficient and organized repair process. This position is ideal for someone who is customer-focused, organized, dependable, and interested in developing a career in the automotive service industry.
The Service Advisor Assistant helps with customer communication, vehicle check-in and check-out, appointment coordination, repair-order administration, parts and technician coordination, and general service-department support.
Key Responsibilities
- Greet customers promptly and professionally upon arrival.
- Assist Service Advisors with customer check-in and vehicle drop-off procedures.
- Help document customer concerns and basic vehicle information accurately.
- Assist with scheduling and confirming service appointments.
- Answer incoming phone calls and respond to customer inquiries.
- Provide customers with updates regarding the status of their vehicles when directed by the Service Advisor.
- Assist with preparing, organizing, and updating repair orders.
- Coordinate communication between Service Advisors, technicians, parts personnel, and customers.
- Help obtain vehicle information, mileage, maintenance history, and other necessary documentation.
- Assist with vehicle inspections, photos, and documentation as required by the service department.
- Help coordinate vehicle movement, keys, and parking within the service area.
- Assist with customer vehicle pick-up and delivery procedures.
- Maintain accurate records and ensure paperwork is completed properly.
- Help keep the service reception area and customer areas clean, organized, and professional.
- Follow dealership/shop policies, safety procedures, and manufacturer guidelines.
- Protect customer information and maintain confidentiality.
- Perform other duties as assigned by the Service Manager or Service Advisors.
Qualifications
- Previous automotive, dealership, repair-shop, customer-service, or administrative experience preferred.
- Strong customer-service and communication skills.
- Professional and friendly demeanor.
- Excellent organizational and time-management skills.
- Ability to multitask in a fast-paced environment.
- Comfortable using computers, phones, email, and automotive/service-management software.
- Ability to communicate effectively with customers and members of the service team.
- Basic understanding of automotive terminology is preferred.
- Ability to work effectively as part of a team.
- Valid driver's license and acceptable driving record is required.
Physical Requirements
- Ability to stand and walk for extended periods.
- Ability to move around the service drive, parking lot, and shop environment.
- Ability to occasionally lift or carry items such as vehicle keys, paperwork, or light equipment.
- Ability to work safely around moving vehicles, automotive equipment, and normal shop activity.
