Job Summary:
The primary responsibility of the Business Manager is to supervise the temporal aspects (including finances and human resources) of the parish and school. The position requires sound accounting, interpersonal communication, and organizational skills. The Business Manager is required to maintain an appropriate degree of confidentiality and professionalism in their interaction with others. The position requires knowledge of Microsoft office suite programs, Quick Books, the parish/school tuition management program (FACTS), and extensive bookkeeping/accounting skills. The position also requires monitoring compliance with Diocesan policies relating to bank accounts for all parish organizations.
The position calls for coordination with other members of the staff, participation in staff planning and operational meetings, and significant dialogue with the Pastor and the Parish Finance Council.
The business manager is a full-time exempt employee of the parish and reports directly to the Pastor. The business manager serves as an advisor to the Pastor and the Parish Finance Council. A business degree in accounting or management with at least 5 years of experience is required.
Required Knowledge, Skills, & Abilities:
- Must be a practicing Catholic, a member in good standing of a Catholic parish within the Archdiocese of Philadelphia.
- Bachelor’s degree in accounting or business administration with at least 5 years of experience.
- Proficiency in QuickBooks, Microsoft Office software, FACTS Tuition Management, and all basic office equipment.
- Must have the ability to plan, organize, and meet deadlines.
- Must be able to communicate effectively with staff, parish and school community as well as establish and maintain effective relationships.
Duties and Responsibilities:
Financial:
- Establish and enforce accepted accounting standards, methods, policies and principles.
- Manage and oversee the daily accounting operations and produce requisite financial reports and statements.
- Oversee all Parish banking and investment accounts.
- Process payroll journal entries.
- Prepare the annual budgets for the Parish and for the School.
- Oversee all accounting of revenue for the Church and the School, including maintenance of parishioner’s contributions and student’s tuition records.
- Working with the Pastor, Principal and Finance Council, frame tuition levels and policies for each school year.
- Oversee accounts payable, ensuring prompt payment and verify fulfillment of all procured goods/services. Reconcile parish credit card activity.
- Reconcile all bank accounts on a monthly basis and present statements and reconciliation reports to the Pastor and Parish Finance Council.
- Maintain all parish financial records for bi-annual audits and record retention as directed by the Archdiocese.
Human Resources:
- Maintain and update the Employee Manual and personnel files for all employees.
- Prepare annual teacher contracts.
- Manage the employee benefits package, and process Family Medical Leave applications.
- Prepare annual salary increase notifications for employees.
- Prepare 1099’s for contracted employees/substitute teachers annually.
- Maintain records for sick/vacation/personal time/holiday/overtime pay records for all employees.
Miscellaneous Duties
- Assist in the general ministry of the parish by performing duties and responsibilities assigned by the pastor and cooperating with other team members.
