INTRODUCTION
Garver’s Downtown Little Rock office is seeking an Office Support Administrator II. The responsibilities of this position will vary daily but will primarily focus on handling the day-to-day administrative tasks to support the 30-person office. This position will support a team of strategic thinkers and creative doers all steadfastly focused on telling the story we live out every workday — that Garver is the best firm to work for and with. The right person for this role will be energized by operating in this high-volume creative environment. This position requires a high level of organizational and prioritization skills. This is an on-site/in-office position with nearby parking paid.
KEY RESPONSIBILITIES:
- Greet incoming guest/vendors, including those who visit our in-house video and podcast studios
- Event support to include planning, coordinating catering, venues and managing budgets
- Handle pickup/delivery of shipments, including working with our promotional vendor to locally pick up samples
- Schedule and coordinate travel for team members and as requested for incoming visitors
- Ensure cleanliness of all office areas (outside of janitorial services)
- Communicate and coordinate with office building manager, office cleaning service, repair vendors, and parking management
- Coordinate meetings (including meals, venue, AV, etc.)
- Perform administrative duties as needed
- Assist with preparation of expense reports and receipt reconciliation
- Maintain general office supplies (coffee, break room, restroom, mailroom, etc.)
ADDITIONAL RESPONSIBILITIES:
- Coordinate with IT on issues, new hire needs, etc.
- Participate in office culture club to build team camaraderie
- Maintain office-wide vacation calendar
BASIC QUALIFICATIONS
- High School diploma or equivalent
- College level courses or professional certifications (preferred)
- Three+ (3) years of related experience
LICENSES/CREDENTIALS
- Valid Driver’s License
COMMUNICATION SKILLS:
- Must be a strong oral and written communicator
- Must have a customer service mentality
TECHNICAL SKILLS:
- Microsoft Office Suite Proficiency
- Microsoft Teams (preferred)
- Basic Office Equipment and data entry
- Experience with Asana or other project management software (preferred)
Physical Requirements
- Ability to sit for long periods of time
- Lifting or carrying up to 30 pounds
- Pushing or pulling
- Keyboarding
- Driving
- Stooping, crouching, or kneeling
- Ability to hear, understand, and distinguish speech to communicate in-person and on the telephone
