INTRODUCTION
Cox Engineering is seeking a reliable, energetic, and results-driven Office Administrator to join our team. This role is essential to the smooth operation of the office, encompassing responsibilities such as managing vendor relationships, overseeing office supplies, and supporting facilities operations. The ideal candidate will demonstrate strong communication and coordination skills, the ability to collaborate effectively across departments, and proficiency in Microsoft 365. A positive attitude, eagerness to learn, and a proactive, can-do mindset are key to success in this position.
Schedule: Monday – Friday 8am – 4pm

DUTIES AND RESPONSIBILITIES INCLUDE:
- Supplier Relations:
- Serve as the primary point of contact for office vendors, both internal and external, maintaining strong relationships related to company facilities and services.

Partner with procurement to support vendor negotiations and contractual agreements.

Communication and Coordination:
- Maintain clear communication across departments to support accurate vendor budgeting and overall office operations.
- Collaborate with HR and IT with onboarding and offboarding processes, including coordination of electronic device distribution and access.
- Work cross-functionally to ensure office needs are met and standards are consistently upheld.
- Assist team members in finding opportunities to improve office functionality, efficiency, and upkeep.

Ensure the continuous and seamless operation of office services.

Office Supplies and Equipment Management:
- Order, track, and manage office supplies and equipment, including inventory for office areas, kitchens, and breakrooms.

Ensure essential supplies are consistently stocked to support daily operations.

Mail and Shipping Coordination:
- Oversee all daily incoming and outgoing mail and overnight shipments in a timely and organized manner.

Coordinate with carriers to ensure accurate and efficient deliveries and pickups.

Administrative and Staff Support:
- Plan and coordinate office events, including lunches, annual gatherings, and off-site functions.

Provide day-to-day support to staff and assist with tasks that contribute to overall office operations.

Reporting Structure:
- The Office Administrator reports directly to the Executive Administrator.
