Position Overview
We are seeking a highly organized and proactive Office Administrator to join our engineering team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office and assist with project controls to support our engineering projects. This role requires a detail-oriented individual with a strong understanding of project management principles and the ability to multitask effectively.

- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Manage agendas, travel arrangements, appointments, etc., for upper management and project teams.
- Handle phone calls and correspondence (e-mail, letters, packages, etc.).
- Support project controls tasks, including cost control, scheduling, and monitoring functions.
- Collaborate with the Planning, Procurement, Engineering, and Finance Departments to develop the work breakdown structure (WBS).
- Analyze project management and cost control system data, using graphs and diagrams for insightful cost status presentations.
- Implement and maintain Project Planning and Scheduling, applying engineering, procurement, and construction concepts to create and manage simplified critical path logic networks and bar charts.
- Manage and organize engineering project documentation, ensuring all necessary materials are accurately filed and easily accessible for the team.
- Coordinate scheduling, including arranging meetings, booking conference rooms, and setting up video calls for engineering teams and stakeholders.
Qualifications
- Proven experience as an office administrator, office assistant, or relevant role.
- Familiarity with project management, including planning, scheduling, risk management, and cost control.
- Excellent time management skills and ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- Proficiency in MS Office and project management software.

- Regular, reliable attendance.
- Work productively and meet deadlines timely.
- Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment.
- Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies.
- Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required.
