Summary
The Office Administrator supports the Office Manager in administrative, operational, and accounts payable functions across the organization. This role is responsible for approximately 20–25 hours per week of office administration, including medical supply logistics, shipping, inventory management, and office coordination, along with 15–20 hours per week of accounts payable and data entry support. The ideal candidate is highly organized, detail-oriented, proactive, and capable of supporting a fast-paced business environment.
Responsibilities:
- Coordinate weekly ordering, shipping, and inventory management of medical supply kits for healthcare providers
- Manage incoming mail, including sorting, scanning, labeling, document uploads to eBridge, and preparing bank deposits
- Maintain office, kitchen, and breakroom supplies; oversee meeting room readiness; support weekly company-wide catered lunches
- Assist with employee onboarding logistics, including ordering business cards, scrubs, and company merchandise
- Support general office operations, vendor coordination, and administrative projects as directed by the Office Manager
- Process vendor invoices through Concur, ensuring accurate coding, approval routing, and data integrity
- Adhere to internal control policies, procedures, and company compliance standards
- Perform additional administrative and operational duties as assigned
Requirements
- Minimum of 2 years of administrative, office support, or similar experience preferred
- Proficiency in Microsoft Office Suite, with strong attention to detail and organizational skills
- Experience with SAP Concur or a similar expense management or accounts payable platform preferred
- Demonstrated ability to process transactions accurately and efficiently in a timely manner
- Proven experience maintaining organized, accurate, and highly effective recordkeeping systems
- Strong proficiency in Excel and related analytical or reporting tools
- Ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills
- Ability to handle confidential information with professionalism and discretion
