Position Summary
We are seeking a highly organized and proactive Office Administrator to support critical business operations at our Beckley, WV office. This role is ideal for someone who enjoys balancing day-to-day office coordination with technical and project support responsibilities, takes ownership of their work, and wants to make a meaningful impact across multiple areas of the organization.
General Responsibilities
- Receive and direct visitors; receive and distribute mail and packages
- Prepare mailing slips and deliver packages to the post office or drop-off locations
- Coordinate received bills and payments with the Bridgeport office
- Coordinate meals for lunch meetings, lunch-and-learns, and other office functions
- Assist with fleet management, including maintenance schedules, registration, and inspection tracking
- Monitor and order office supplies as needed
- Scan, print, copy, and bind documents
- Maintain office space, including coordinating with vendors and the landlord regarding repairs and issues
- Monitor safety supplies and equipment
- Coordinate with IT on relevant issues for the Beckley office
- Coordinate and schedule volunteer and sponsorship events
- Coordinate and schedule Chamber of Commerce meetings and local conference functions
- Support the Land Development & Water Resources division with bids, technical documents, letters, AEP construction books, and report editing
- Support the Construction Services division with daily reports, technical reports, and data input
- Support the Survey division with supply ordering and general administrative tasks
Technical Responsibilities
- Edit technical documents, including specifications, proposals, and amendments
- Prepare bid packages
- Assist with preparation for pre-bid and pre-construction meetings
- Manage filing and document organization
- Perform data entry, including daily field reports, Quest data, bid results, and bid tabs
- Process revisions to technical reports
