AI Engineers, Inc. (AIE) is seeking an experienced Senior Operations Administrator to join our team in Middletown, Connecticut. This role supports company-wide operations and administrative functions, including facilities coordination, corporate filings, fleet vehicle administration, front office operations, and general office support. This position plays a key role in maintaining organizational efficiency, compliance, and a positive experience for employees, clients, and visitors.
This is an immediate opening for a highly organized, proactive administrative professional with strong attention to detail, excellent communication skills, and the ability to manage multiple responsibilities in a dynamic, fast-paced consulting environment. The ideal candidate will be comfortable working independently while collaborating across departments in a growing, innovative engineering firm.

Position is an onsite role based in Middletown, CT, with onsite hours 8:30a - 5:00p.
Requirements / Qualifications:
- High school diploma or equivalent
- Bachelor’s or Associate’s Degree preferred
- 5+ years of progressively responsible administrative or operations experience, preferably in a professional services or engineering environment.
- Proficiency in Microsoft Excel and Microsoft Word, with the ability to track, organize, and prepare accurate documentation.
- Strong organizational and time management skills with the ability to manage competing priorities.
- Executive administrative support experience strongly preferred.
Responsibilities:
- Support company facilities and office operations, including vendor coordination, maintenance, repairs, supplies, furniture, and equipment.
- Coordinate corporate filings, licensing, compliance documentation, and corporate secretary records in collaboration with Legal and leadership.
- Administer and maintain records for company-wide programs, including insurance certificates, fleet vehicles, phone systems, and mobile devices.
- Assist with oversight of vendor contracts and service providers.
- Serve as a professional first point of contact for the Middletown office, including phone coverage and visitor reception.
- Provide administrative and backup support to executive leadership and collaborate with the Front Office Administrator to ensure coverage as needed.
- Perform other related duties as assigned.
