This specific role supports our Customs & Models department.
Position Overview: The Operations Administrator provides critical administrative and operational support to our Customs & Models team by coordinating work orders, maintaining project documentation, tracking financial activity, and supporting field operations from project kickoff through completion.
This role is ideal for someone who enjoys staying organized, managing multiple priorities, and being a key support partner to both operations teams and clients.
Key Responsibilities
- Schedule and accept work orders
- Answer calls from builders regarding warranty dates and work order scheduling
- Track multiple logs in Excel and generate maps for turnovers
- Prepare submittals for client architect approval
- Track completion dates of landscape activities within internal databases
- Prepare job budget reports for operational teams
- Assist with pre-construction meetings and track action items across departments
- Monitor AWA numbers, approval dates, and purchase order receipt and billing status
- Submit completed AWAs and purchase orders to Accounts Payable while maintaining accurate financial tracking logs
- Communicate with clients regarding unpaid purchase orders
- Track monthly post-installation and maintenance revenue while coordinating with Superintendents on completed areas ready for maintenance turnover
What You Bring
- Bilingual Spanish is highly preferred
- Strong computer proficiency, particularly in Microsoft Excel
- Excellent organizational skills and attention to detail
- Ability to adapt quickly in a fast-paced environment while managing competing priorities and deadlines
- Strong communication and follow-through skills
