Polsinelli is hiring an Office Administrator for its Denver office.
Position Summary
Along with the Office Managing Partner, the Office Administrator represents Polsinelli in their assigned office and serves as the point of contact for that office. The Office Administrator demonstrates exceptional client service to all the Firm’s external and internal clients and is responsible for managing the day-to-day operations of an office. The Office Administrator works directly with the Office Managing Partner to keep the physical and administrative operations of our offices running smoothly. The Office Administrator works closely with attorneys in their assigned offices to determine their support needs, coordinates Firm and client office events, and ensures that employees have the necessary tools and training to perform the essential functions of their jobs.
ESSENTIAL FUNCTIONS
- Directly recruit, hire and supervise Legal Administrative Assistants and Receptionist/Office Services support.
- Onboard and offboard attorneys and staff.
- Conduct annual reviews for Legal Administrative Assistants and Receptionist/Office Services support.
- Prepare salary analysis for annual salary increases.
- Ensure that support staff receive appropriate training to effectively accomplish their jobs.
- Counsel and discipline all support staff, including direct reports and indirect reports (in conjunction with direct supervisor when applicable).
- Conduct staff meetings.
- Foster positive attorney and staff relationships.
- Coordinates office moves, renovations and related changes with respective firm departments.
- Interact with Firm-wide supervisors, managers, and their staff in various departments to ensure efficiencies in the day-to-day operations of the office.
- Work with Office Managing Partner to facilitate overall operation of the office.
- Collaborate with Office Managing Partner on office budget with possible oversight of the same.
- Liaison among the Firm's various offices, particularly with respect to implementation of new policies and procedures and cultivation and maintenance of Firm culture.
- Oversee office charitable fundraisers as deemed appropriate by the Firm’s Human Resources Department.
- Work with the Firm’s Director of Facilities and building management to resolve issues related to office maintenance and office operations.
- Collaborate with other department managers as needed on issues involving their in-office staff.
- Arrange for and on occasion provide back-up support for vital office positions (receptionist, IT, etc.) and other Office Administrators/Managers.
EVENTS
- Collaborate with Office Managing Partner(s), marketing, attorneys, and other staff members on all critical office, practice group and client events, initiating planning and implementation of the same. Attendance may be required during events, including those outside of regular business hours.
- Plan and organize Staff and Employee focused events and meetings, e.g., holiday events, office luncheons, and open house events.
- Oversee Office Services and Hospitality support as it relates to event planning and coverage.
SKILLS AND ABILITIES
- Strong administrative, management and leadership abilities. Ability to provide general management direction and strategic guidance to lawyers, managers, and staff.
- Ability to staff, anticipate, and identify problems/issues; recommend and implement alternative courses of action.
- Capable of handling confidential management matters with sensitivity and discretion, sometimes dealing with difficult management decisions and situations.
- Ability to monitor information, handle multiple priorities, and demonstrate a high level of initiative.
- Excellent conflict management, coaching and interpersonal skills.
- Excellent communication skills, both verbal and written.
- Ability to maintain effective working relationships with all levels of Firm personnel in a team environment. Ability to facilitate individual and group meetings and make oral presentations.
- Ability to meet deadlines, synthesize information, delegate, follow up and monitor projects.
- Ability to travel between Firm offices, as required.
REQUIREMENTS
- Education: Bachelor’s Degree (four-year college or university)
- Experience: Four to ten years of related experience
- Computer Skills: Proficient in Microsoft programs, including but not limited to Word, Excel and Outlook. Broad knowledge of legal specific programs preferred.
- Other Requirements: Previous supervisory experience in a law firm setting
The budgeted salary range for this position is $100,000 - $145,000.
